Description
Join our Student Services team to support staff and students districtwide. This is a full-time, 12 months, 40 hours per week position.
Job Goal: Provide management and secretarial support within the district office including: Student Services, PCSD 4K Program, and Special Education Programs. Responsibilities will include processing correspondence, managing files and records, accounting for the use of funds, communicating with our School Based Services billing agent and the State of Wisconsin School Based Services Office, and maintaining accurate and complete records and reports of the entire Medicaid process.

Manage all Medicaid data collection and reimbursement requirements including but not limited to:
a. Medicaid Caseloads for Attendant Care. Enter staff caseloads into Accelify/Frontline to start the year. Monthly Transportation logs-print logs and send to our staff as well as enter transportation into the Accelify/Frontline website. Organize the transportation logs to start the school year.
b. Attending Webinars/training for State and Federal regulations
c. Monthly student eligibility checks
d. Parent consent forms-mailing to families, logging and maintaining files
e. Monthly student roster updates
f. Daily/monthly random time studies: sending out notification of time study participation and daily reminder
g. Quarterly staff pool list & calendar generated and submitted to deadlines set by state Quarterly Financials-MAC
h. Quarterly reports for MAC
Maintain a working knowledge of the rules and regulations governing the School Based Services billing process.
Communicate effectively with student services staff regarding the process and procedures of assigned programs.
Work Collaboratively with the District Social Worker including McKinney Vento reporting and documentation. Provide backup support and assistance to the District Preschool Screening program/Child Find Screening-parent phone calls, schedule appointments and enter children into the Student Information System- Skyward.
Perform all 4K administrative assistant duties-maintain accurate budgets, process orders, correspondence with staff and parents, assist with placement of all 4K students, update 4K website, knowledge of district & elementary school boundaries.
Maintain records and provide support to the Native American Grant Program (Title VI)in addition to attending webinars regarding the Title VI grant. Organize and attend Native American family nights and public hearings.
Provide administrative assistant support and accurate budgets for School Nurses and Health Aides, EL staff, School Psychologists, District Social Worker, Safety committee, Tier 1 and Tier 2 school teams, and School Counselors as required by the Director and Assistant Director of Student Services.
Provide backup and assistance to the Director of Student Services Administrative Assistant.
Organize and prepare for the February All Staff Professional Development & Learning Day including: proofreading and formatting the agenda, contacting speakers, process checks, ordering lunch for all staff, room assignment and signs, directing staff around the high school, etc.
Perform other duties as assigned by the Director of Student Services/Assistant Director of Student Services.
Qualifications
Qualifications:
High School diploma, post high school training and/or minimum 5 years office experience or associate degree preferred.
Demonstrated ability to:
