Job Description : Job Summary

The Lead Administrative Assistant will provide high-level administrative support for a group of staff professionals, in the Community and Engagement unit of John Martinson Honors College. Applicants can expect to independently perform non-routine administrative functions exercising discretion; such as coordinating events, conducting searches for information, or preparing reports. This will involve drafting and editing correspondence, promotional materials or collecting and assembling documents. Will monitor operating budget and maintain financial records. An individual in this role will handle non-routine inquiries and issues from internal and external sources, and provide functional or administrative supervision over other support positions. May serve in a lead capacity for assigned program or for special projects.

This is a hybrid role.

In the Community and Engagement unit of the John Martinson Honors College, we oversee Purdue's National and International Scholarships Office, Student Community, and the Leading Women Toward Space Careers program. What You'll Be Doing :

  • Perform non-routine administrative functions; conduct research, prepare reports and presentations, respond to information requests, and manage correspondence.
  • Maintain calendars, schedule complex meetings, prepare agendas, and collect and provide support materials.
  • Respond to non-routine inquiries and issues from internal and external sources; draft and edit correspondence.
  • Develop, implement, and maintain / improve processes related to administrative support operations (e.g., records maintenance, data collection and maintenance, etc.) to ensure compliance with University policies and procedures.
  • Coordinate the logistics of various programs, projects, workshops, events, and
  • presentations.
  • Arrange travel, order supplies, and ensure proper functioning of office equipment.
  • Update and maintain mailing lists, databases and websites.
  • Supervise, mentor and train other support staff.
  • May monitor operating budget and maintain financial records.

What We're Looking For :

Requires a high school diploma / GED. Minimum of 4 years of experience in an administrative support role.

Experience with Purdue student systems such as Self-Service Banner, Internet Native Banner, and COGNOS strongly desired as well as Qualtrics. Demonstrated computer skills including database, word processing and website maintenance. Ability to work independently and in a team-oriented environment. Must be able to maintain discretion, adhere to protocols, demonstrate initiative and maintain confidentiality. Ability to effectively work with a diverse group of people.

This position entails a significant amount of database interaction, currently in Access and Excel. There is a strong preference for candidates who have worked with Access to create tables and queries previously and are familiar with advanced data manipulation in Excel, particularly writing formulas for text-based data.

  • Excellent written, verbal and interpersonal communication skills.
  • Ability to handle frequent interruptions, balance multiple tasks, meet deadlines, and maintain confidentiality.
  • Strong organizational and time management skills and attention to detail.
  • Advanced computer and related software skills to include Word, Excel, PowerPoint, Outlook, Internet, etc.
  • Ability to collaborate and communicate with individuals at all levels within and external to the university to support department needs.
  • Ability to interpret policies and procedures to proactively resolve issues or improve processes.
  • Ability to identify problems and implement or recommend solutions.
  • Drafting, proofreading and editing skills.
  • Ability to lead others and provide direction and constructive feedback.
