Overview
We are seeking a detail-oriented, motivated, and inspired Office Administrator to join our dynamic team! The ideal candidate will play a crucial role in ensuring the smooth operation of our office, supporting various administrative functions, and enhancing administrative efficiency. This position requires strong organizational skills, keen attention to detail, and the ability to manage multiple tasks effectively.
Even though we are a very established company, we are back in a "start-up mode" as we are rebranding, hence hiring! The ideal candidate MUST be willing to do the work of whatever the day requires to help move us along. There are no set tasks/ responsibilities here; we all work together on various tasks throughout the day/ week to ensure smooth operation.
Skills
- Strong organizational skills with the ability to prioritize tasks effectively.
- Proficient in calendar management and scheduling software.
- Ability to work independently and hold yourself accountable.
- Very detail-oriented and able to give your full attention to a task (mistakes are easy to make AND easy to catch!!)
- Strong communication skills, both written and verbal.
- Excellent customer support skills
- Experience in office management practices is highly desirable.
- Physically "fit": This job can sometimes require walking throughout the day and occasionally lifting up to 50lbs
Duties:
- Complete daily administrative tasks such as responding to emails, answering phone calls, taking orders, etc.
- Create invoices and packing customer orders.
- Oversee daily office operations and ensure a productive work environment.
- Making product samples and bottles for orders as needed.
- Ensuring optimal product presentation at all times.
- Maintain office calendar and schedule meetings, appointments, and events efficiently.
- Coordinate store trainings and demos.
- Ensure compliance with company policies and procedures.
- Maintain confidentiality of sensitive information.
- Keep track of ongoing promotions and follow-up requests.
- Assist in training new employees as needed.
- Doing other tasks that the day may requires (eg. labeling bottles, accounting calls, etc)
Requirements:
- Must at least have a high school diploma or equivalent
- Must have at least 3 years of customer service/ sales experience
- Excellent and professional communication skills
- Must be willing to do whatever the business requires on a daily basis (This is not the kind of position where you will be expected to do the exact same thing every day - as mentioned before, we are in start-up mode so tasks are assigned daily by managers)
- Experience with Quickbooks (preferred)
