The Administrative Assistant supports all staff at the main office in Pittsburgh, PA with the following duties:
High school diploma and a minimum of 3 years of experience in an administrative support role.

Pay Range

The Administrative Assistant supports all staff at the main office in Pittsburgh, PA with the following duties:
- Manages all front office activities including answering and directing all calls to recipients, takes and relays messages, pages employees when necessary.
- Assist Human Resources with a new hire orientation.
- Prints, assembles, and prepares, plans, and documents for shipping and/or distribution to client.
- Orders and maintain all personal protective equipment.
- Makes travel arrangements (e.g., hotel reservations, uber, cab) for employees when requested.
- Orders and maintains all office supplies for the Pittsburgh office.
- Coordinates office events, group lunches and celebrations.
- Maintains office service accounts (e.g., account management, payment, etc.) Reviews new vendors and leads selection of new providers.
- Places service calls to vendors when copiers or other office equipment are not functioning.
- Coordinates with the Marketing team for purchases of branded apparel.
- Manages client holiday gift planning, ordering, and mailing.
- Maintains organization, stocking and upkeep of kitchen and patio areas, beverage fridges and recycling.
- Ensures that production room is kept clean, organized, and free from tripping hazards. Ensures that paper and toner levels are always maintained.
- Picks up mail, sorts and delivers to desks and offices.
- Arranges for package shipping, creating mailing labels, ordering package pickup or expedited delivery and faxing documents.
- Delivering documents and checks personally to clients as requested.
- Maintains an organized office filing system.
- Conducts quarterly inspections of personal protective equipment.
- Serves as main point of contact for employee personal protective equipment ordering, storage, and distribution.
- Relays announcements from Spectra Management to Pittsburgh office staff.
- Coordinates Fire Extinguisher inspections for the Pittsburgh Office through Spectra.
- Coordinates fire drills for the Pittsburgh Office in accordance with Spectra schedule.
- Leads office evacuations in accordance with Emergency Action Plan for Pittsburgh Office.
- Maintains updates to Safety Manuals and Emergency action plans and issue updates.
