Job Overview
We are seeking a dedicated and detail-oriented Case Manager to join our legal team. The ideal candidate will possess strong organizational skills and a passion for helping clients navigate their legal needs. This role involves managing case files, conducting research, and providing administrative support to ensure the smooth operation of our legal services.
THIS IS NOT A REMOTE JOB: REPEAT—THIS IS AN ON-SITE POSITION:
Duties
1. Create and keep an up-to-the minute calendar of ALL case events and due dates and reminders in MS Outlook pursuant to company guidelines/instructions
2. Constantly monitor and scrutinize case due dates to ensure that no case event is missed or late
3. Verify and ensure that the subject and verbs of the accepted issues (case accusations) in all legal reports meet and match all prima facie (elements of proof) in all cases
4. Meticulous proofreading (grammar/spell checking/proper sentence structure) and necessary revisions of legal documents (including Investigative Plans; Affidavits; and Reports of Investigations)
5. Ensure the proper assembly of, or assemble legal documents in Adobe Acrobat Pro/Adobe DC (digital redacting, digital page numbering, etc.)
6. Serve as a consistent, constant, reliable, and professional Team Lead over Case Investigators including but not limited to:
a. ensuring all questions of the Case Investigators are swiftly answered;
b. ensuring that Case Investigators openly copy ALL case documents to the company’s client email address; and
c. ensuring that the Case Investigators electronically file ALL case documents into the company’s client’s shared drive;
d. ensuring the Case Investigators advance or meet all case deadlines
7. Constantly monitor emails and immediately forward sensitive, urgent, or vital emails to the CEO or immediately alert the CEO of such emails (including but not limited to emails that demand action on the part of the company, or problems or challenges raised by the company’s client)
8. Before sending emails, verify proper recipients (no accidental “reply-all’s or sending emails to the wrong person)
9. Electronic and physical filing of documents
10. Make and receive phone calls to VIP’s in the legal world
11. Enter data into the computer
12. Handle requests and queries appropriately
13. Other job related responsibilities as needed.
Experience
- Previous experience as a Paralegal or in a legal administrative role is preferred.
- Strong writing skills, with the ability to draft clear and concise legal documents.
- Excellent proofreading skills to ensure high-quality documentation.
- Strong attention to detail, organization, and time management skills are essential.
ESSENTIAL SKILLS:
1. Insane, crazy, obsessed, over-the-top proofreading, spelling, grammar, and proper sentence structure skills. For example, catching that ending punctuation goes inside the end-quotation mark; knowing when the comma comes before the conjunction; knowing how and when to properly use semi-colons; changing passive sentences into active sentences; catching and correcting your own mistakes; and not repeating the same mistake
2. Type at least 55 wpm to type legal documents
3. EXCELLENT computer and internet skills
4. EXCELLENT MS Word skills (search and replace, margin setting, embedding or responding to digital comments, and more)
5. EXCELLENT MS Outlook (make and schedule appointments using MS Outlook; emailing and keeping an up-to-the minute calendar of due dates and reminders
6. GOOD/FAIR Adobe Acrobat Pro skills (or be a super-fast learner on this software) and periodically take free You Tube how-to courses
7. GOOD/FAIR MS Excel skills
8. EXCEPTIONAL ORGANIZATION (organizational and time management skills such that you know your tasks and complete them without having to be reminded)
9. Multitask and prioritize daily workload
10. Be professional but SPECIFIC and FIRM with EXPECTED ACCOUNTABILITY when communicating tasks and deadlines to staff

Job Types: Full-time, Contract
Pay: $18.00 - $21.66 per hour
Expected hours: 40 per week
