Your Role

The Operations and Events Coordinator is a dynamic, go-getter role that keeps our executive team and event strategy running smoothly. You'll be the right-hand support for our Chief Revenue Officer and EVP of Enterprise Growth-managing schedules, prepping meetings, booking travel, tracking expenses, and keeping our CRM humming. You'll also step in as a trusted backup for the CEO and President's Executive Assistant when needed, tackling scheduling, travel, event logistics, and anything else that helps the office thrive.

On the events side, you'll own the planning and execution of our conference game plan. From researching the hottest opportunities and locking in sponsorships to managing booth setups, swag, and attendee logistics, you'll ensure every detail shines. You'll also dive into pre-conference prospecting and post-event follow-ups to keep the momentum going. What you'll do :

Administrative Support (40%)

  • Provide comprehensive administrative support to leaders in the Commercial organization, including scheduling and coordinating internal and external meetings, preparing meeting agendas and materials, arranging travel accommodations, reconciling business expenses, and inputting and maintaining accurate CRM data.
  • Serve as back-up support for the Executive Assistant to the CEO and President, as needed. Duties may include scheduling and calendar management, coordinating travel arrangement, supporting company-wide event logistics, and providing general office coverage and support for ad hoc tasks.
  • Perform data entry and ensure accurate maintenance of CRM, lead generation, and project management tools.

Conferences and Events (60%)

  • Collaborate with the Sales team to develop and finalize the annual conference schedule by :
  • Researching potential conferences, including details on costs, benefits, and relevance.

  • Compiling and presenting a detailed summary for discussion and approval.
  • Oversee conference preparation and logistics for confirmed events. Examples of tasks include securing financial sponsorship, completing attendee registrations, updating the company profile, and coordinating marketing materials for conference use.
  • Handle travel logistics for attendees, including booking hotel reservations and inputting trip details into the company's travel management software.
  • Coordinate booth setup and logistics, including arranging furniture, electricity, and other required utilities; managing swag and marketing collateral, ensuring timely shipment with external vendors.
  • Maintain and manage the attendee list. Support the pre-conference outreach strategy with targeted prospect research.
  • Execute post-conference follow-up tasks : document and input lead connections into the CRM; reconcile and report expenses in line with company policies.
  • What you'll bring with you

    To excel in the Operations and Events role, candidates should ideally have :

    Professional Experience :

  • Administrative Support : 2 years of experience in a fast-paced environment, supporting executives or senior leadership, ideally in a start-up or high-growth company.
  • Event Coordination : Proven track record of managing logistics for conferences, trade shows, or similar events, including sponsorships, travel, and vendor coordination.
  • Project Management : Experience juggling multiple tasks and priorities while meeting deadlines with high attention to detail.
  • Technical Skills :

  • CRM Proficiency : Hands-on experience with CRM tools (e.g., Salesforce, HubSpot) for data entry, maintenance, and lead tracking.
  • Project Management Tools : Familiarity with tools like Smartsheet or Monday.com to manage workflows and timelines.
  • Event Software : Experience using travel management systems or event registration platforms is a plus.
  • Soft Skills :

  • Problem-Solving : A resourceful self-starter who can troubleshoot and resolve issues on the fly.
  • Communication : Strong verbal and written communication skills for coordinating across teams and with external vendors.
  • Flexibility : Comfortable navigating the ever-changing priorities of a start-up environment.
