Job Title: Major Events Coordinator Status: Part-time
Exemption Status: Non-Exempt
Department/Location: St Elizabeth Ann Seton School / Tucson, AZ
Primary Function: Under the direction of the Pastor, School Principal, or other assigned manager, is responsible for strategic oversight and logistical expertise in the development and execution of compelling special events that promote fundraising and enhance community life and the relationship between St. Elizabeth Ann Seton School and its alumni, parents, donors, and community members. Responsible for the organization of various fundraising activities including major events and donor relationships. The Employee shall be a minister of the Gospel and Catholic Teaching behaviorally while at work and in his/her personal life, “…Live in a manner worthy of the call you have received.” (Eph. 4:1)
Essential Duties and Responsibilities:
- Support the Diocese of Tucson and the Church’s spiritual and pastoral mission.
- Shall abide by Catholic principles in the employee’s professional and private life and shall govern his/her professional and private life in strict accordance with Catholic morals and principles to demonstrate complete adherence to Catholic moral strictures.
- Work with pastor, principal or other assigned manager, volunteers, and other stakeholders to develop event formats, programs, and content.
- Organize event logistics in accordance with school policy, including catering, A/V, decor, and photography
- Create project timelines, budgets, and event communication plans to be shared well in advance with all stakeholders
- Manage the production of print and digital assets (name tags, place cards, agendas, event registration websites)
- Oversee guest management, including guest list compilation, invitation distribution, response tracking and reporting, pre- and post-event communications
- Develop volunteer plan
- Serve as the point person for school event logistics
- Perform other duties as assigned

Physical/Mental Requirements: Requires coordination and manual dexterity; normal mental and visual ability; ability to lift as required in a normal office environment.
Required Activities: Walking; sitting; standing; stooping; reaching; talking; handling; hearing; carrying; and keyboarding.

- A working knowledge of, and a strong commitment to the mission of the Catholic Church; must also be a practicing Roman Catholic in full communion with the Church.
- Excellent communications skills, verbal and written; excellent human relations and interpersonal skills.
- Exercise courtesy to fellow employees, parishioners, and the public
- Must be a self-starter; well organized; perform multiple tasks simultaneously and work with a sense of urgency.
- Maintain confidentiality of financial transactions; maintain and respect the privacy of donors and persons served.
- Ability to work collaboratively in a team environment; punctuality is a must at all times.
- Ability to travel locally as required; weekend and overtime work may be required.
- Proficiency in computer technology to include word-processing and spreadsheets.
- Ability to develop presentations and present to individuals and groups.
- Professional bearing; clean and neat personal appearance
- Ability to successfully pass a background, criminal history, and credit history check.
Education and Experience:
- Bachelor’s degree from an accredited institution or equivalent experience.
- 3-5 years of non-profit sector experience or equivalent and two years’ experience in a fund-raising environment working with donors including experience with direct mail campaigns.
Other/Preferred Skills:
- Bi-lingual (English/Spanish)
- Experience working with volunteers.
- Experience with special events
