This is a full-time one-site role offering $60,000 salary plus benefits inclusive of immediate health/dental/vision coverages, 15 days of vacation, 5 sick days, 401k Plan with company match and more. This is an on-site position in the Miami-Dade and Broward area. This role will provide support for multiple Hospital Medicine programs and reports to the regional operations manager. The Hospital Medicine Coordinator will be responsible for the day-to-day practice management administrative functions of the Hospital Medicine Team.
Essential Duties and Responsibilities:
- Meet monthly with key hospital stakeholders of ancillary departments to keep open lines of communication between the team and the hospital.
- Meet with hospital admitting as well as emergency departments to review pertinent updates to payer letters and team announcements.
- Reconcile census daily via multiple systems inclusive of hospital EMR and internal company systems to ensure proper charge capture and data collection to support staffing decisions. Report out volume and productivity to the team monthly or as requested.
- Gather all documentation from Hospital EMR to support charge capture.
- Work to resolve any missing charges or documentation directly with the provider and escalate to lead Physician of non-managed group if necessary.
- In collaboration with Lead Physician of non-managed group, publish hospital medicine schedule internally and per hospital procedures 90 days in advance. This may involve maintaining an on-call list with the hospital in collaboration with the telecommunications and/or admitting departments of the hospital.
- Send applicable notifications from Event Notification System (ENS) log.
- Lead and prepare materials for monthly meetings (via PowerPoint) with key hospital stakeholders in collaboration with the Lead Physician of non-managed group. Capture meeting minutes, notes and action items.
- Review provider payroll for accuracy and assist in resolution of any discrepancies.
- Data entry and retrieval workflows as applicable. This may also include uploading medical records for purposes of billing and/or compliance.
- Provide remote administrative support as requested by Lead Physician of non-managed group.
- Update site data walls and KPI dashboards to create transparency on key measures of team performance such as length of stay and patient experience.
- Responsible for conducting duties for 7-10 non-managed hospitalist programs.
- Proficiency with Microsoft office software suite: Excel (intermediate), Word, Outlook and PowerPoint, and keyboarding speed of at least 40 wpm.
- Proficiency in oral and written business communications in English language to communicate with hospital staff as well as medical providers. Fluency in Spanish language is preferred, but not required.
- Proficient organizational skills to handle administrative tasks and to be timely in reaching deadlines and communicating to various stakeholders in advance.
- Proficient analytical skills with strong attention to detail to handle auditing, comparing and cross-checking data between multiple reports in various formats (i.e. Excel, Adobe).
- Ability to maintain patient confidentiality and follow medical office protocols to comply with HIPAA and PHI requirements. Complete the annual HIPAA required trainings timely.
- Proficiency with informational systems to facilitate the use of electronic medical records (EHR/EMR) and Scheduling Software. Prior experience using State ADT/Event Notification Systems (ENS), medical billing and coding systems is preferred.
- High School Diploma or GED
- At least 2 years of administrative experience in a hospital medicine environment.
- At least 1 year of customer service experience.
- At least 1 year of experience using EHR/EMR.
- Must comply with medical facility safety and vaccination requirements.
- Ability to keyboard and use computer for extended periods of time.
- Ability to sit and/or stand for extended periods of time.
- Ability to lift to 20 lbs.
