Purpose:
The Operations Specialist is responsible for supporting specific aspects that affect the overall success of operations for the communities assigned to their personal portfolio. This position is responsible for supporting areas in the overall process of excellence in sales, human resources, licensure compliance, daily operations, and census development, while ensuring the assigned communities comply with corporate policies, annual budget, and federal/state regulations. It is also the responsibility of this position to assure services that provide the highest practical functioning of its residents, the families it serves, and the needs of the employees and the community in which it operates.
Primary Responsibilities:
1. Overall Process Excellence - Hiring, Training and Retaining
- Support Executive Directors in accomplishing hiring goals and recruiting efforts.
- Support struggles with onboarding and orientation programs.
- Participate in coaching and training directors in all departments.
2.Overall Process Excellence - Sales and Occupancy
- Support the development of the sales culture.
- Promote the sales process which is: First Impression, Discovery, Needs Matching, Sales Presentation, Close.
- Understand and have the ability to coach according to the sales processes
3. Overall Process Excellence – Dining
- Support and train to QSLM standards of a restaurant resort hospitality program.
- Understand and have the ability to coach accordingly
4. Overall Process Excellence – Wellness
- Support and train to QSL Management standards of providing excellent care for residents.
- Understand and have the ability to coach accordingly
5. Overall Process Excellence - Facility Management
- Understand and have the ability to coach accordingly
- Understanding and manage to the annual budget for the department
6. Overall Process Excellence – Activities
- Support and train to QSL Management standards of meaningful and enjoyable activities for residents.
- Understanding and having the ability to coach accordingly
7. Regulation & Policy Compliance
- Ensures that QSL Management policies and procedures are followed.
- Maintains Federal, State, County and City regulations.
- Reports any and all Federal, State, County and City inspections, correspondence and/or inquiries to the VP of Operations on the same day of receipt and/or occurrence. Thoroughly, objectively and professionally documents relevant information with an accurate timeline.
- Maintains a risk management file on any and all situations that may require legal intervention, litigation and/or state inspections. Thoroughly, objectively and professionally documents relevant information with an accurate timeline. Obtains witness statements as needed utilizing the company approved form. Utilizes “Employee Notes” to document specific information related to individual employees.
8. Special Projects
- From time to time, the Operations Specialist may be asked to participate in special projects conducted inside and outside of their assigned portfolio.
9. Travel
- This job will require at least 100% travel. The RVP of Operations will determine a suitable travel schedule.
10. Reporting
- Assist communities with submitting specific reports to corporate partners. Participate in annual budget creations.
