Summary of Position
The Controller is responsible for the financial health of Quail Run Association, Inc., a 265-residence community with up to 500 additional club memberships. This is accomplished through timely reporting of financial information to the General Manager and Board, protection of the Association’s assets through proper risk assessment, and compliance with professional standards. The Controller provides direction and leadership by overseeing the accounting functions, conducting financial analyses, generating reports, establishing and monitoring budgets, and monitoring compliance with laws and regulations. The Association is comprised of 12 operating departments including Administration and IT, Recreation, Food & Beverage, Grounds, Housekeeping, Engineering/Maintenance, Club Membership Services, Golf, Security, ITU (Insurance, Taxes, and Utilities), and Property Management (operated as Quail Run Realty, LLC).
Requirements
- Bachelor's degree in Accounting; Master’s degree preferred.
- Minimum of 10 years of related experience, including 5 years of supervisory experience
Preferred Requirements
- Experience with Condominium Association and/or Common Interest Realty Association (CIRA) accounting.
Essential Job Functions & Responsibilities
- Provide accurate and timely financial reporting, tracking, and planning for Quail Run Association, Inc., Quail Run Realty, LLC, and the Replacement Reserve Fund
- Establish and ensure the maintenance of internal controls and financial procedures
- Oversee cash flow and ensure the availability of funds, including monitoring cash requirements from the Replacement Reserve Fund for major repair or replacement projects
- Attend all Finance Committee and Investment Committee meetings and provide information as requested to assist committee decisions
- Attend Mid-Year and Annual Homeowner Meetings and present financial information as needed
- Act as liaison with outside auditors to meet all information requests, either directly or through oversight, to obtain the audited financial statement results in a timely manner
- Coordinate the development and monitoring of annual budgets, thereby determining annual Homeowner assessments, in close collaboration with the General Manager, Board Treasurer, and Finance Committee
- Work directly with the General Manager and all department managers each year developing initial budget presentations to the Finance Committee in October through approval of the final budget by the Board in November
- Assure legal and regulatory documents are filed timely and monitor compliance with applicable laws and regulations
- Manages accounting staff selection, performance evaluation, development, and training processes to ensure team member competencies and capabilities to meet the Association’s mission and goals
- Oversee Accounts Payable, Accounts Receivable, and Payroll processing by staff and third-party service providers
- Primary liaison with Trustee and acting Plan Administrator for Quail Run Association 401K Plan
- Develop expert knowledge of Quail Run Association’s processes and procedures and implement process improvements identified
- Oversee preparation of Resale Certificates and Covenants Committee inspections required for Units in the process of being sold
- Establish focus for the accounting team and foster teamwork to achieve success
- Perform hands-on analysis and review of the Association’s financial accounting systems and general ledger accounts
- Leverage and adopt technology to improve customer service and the quality and value of information provided
Knowledge, Skills, & Abilities
Strong emphasis on taking a hands-on role to provide leadership for the accounting team as well as finance leadership to all department managers and support to the General Manager. Passion to solve problems at all levels; from strategic planning to detailed financial analysis. Superior oral and written communication skills, leadership and change management abilities, as well as a curiosity to understand the Quail Run community and Association culture and processes, thorough understanding and experience working and complying with Generally Accepted Accounting Principles (GAAP), professional Code of Conduct, and Code of Ethics. Ability to demonstrate a high level of ethical behavior and maintain confidentiality with sensitive matters. Extensive knowledge of accounting, reporting, analysis, budgeting, compliance, risk assessment, and technology acquired through related work experience. Strong ownership of work product and commitment to high quality. Experience with an integrated ERP system and the use of sub-ledgers as well as Outlook, Excel, Word, and PowerPoint. Leadership skills are needed to proactively drive and deliver high-impact results through collaborative and independent efforts.

Physical demands
