Position Overview:
We are seeking a highly organized and detail-oriented Assistant Office Manager to support our operations team. The ideal candidate will have experience in service dispatching and invoicing. Experience with AIA billing is a significant plus. Experience with Service Titan is a significant plus. This role requires a proactive individual with excellent communication and problem-solving skills to ensure smooth day-to-day office operations.
Key Responsibilities:
- Coordinate service dispatching, ensuring efficient scheduling and communication with technicians and clients.
- Oversee invoicing processes, including reviewing, processing, and following up on outstanding accounts.
- Manage and process AIA billing as needed to support project requirements.
- Utilize Service Titan to track job progress, schedule service calls, and generate reports (preferred but not required).
- Assist with general office management tasks, including ordering supplies, maintaining records, and supporting administrative functions.
- Collaborate with project managers, technicians, and clients to ensure timely completion of projects.
- Provide customer service support by handling inquiries, complaints, and service requests.
- Ensure compliance with company policies and industry regulations.
Qualifications:
- 2 years of experience in office management or administrative support, preferably in the electrical or construction industry.
- Experience with service dispatching and invoicing.
- Understanding of AIA billing processes (a plus).
- Proficiency in Service Titan or similar service management software (a plus).
- Excellent organizational and multitasking abilities.
- Strong communication and interpersonal skills.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook).
- Ability to work independently and as part of a team in a fast-paced environment.
