Quality Enterprises is looking for a Bid Coordinator to join our team. The Bid Coordinator is responsible for coordinating and preparing accurate and comprehensive bid proposals for civil construction projects. This role requires exceptional writing skills, a keen eye for detail, and the ability to organize and manage multiple tasks efficiently within tight deadlines. The Bid Coordinator will work closely with project managers and estimators to ensure that proposals are submitted on time and meet the highest standards of quality and accuracy.

Essential Responsibilities:

- Prepare, organize, and format civil construction bids, ensuring that all technical, financial, and legal documentation is accurately included.
- Collaborate with estimators, project managers, and other stakeholders to gather necessary information for bid submissions.
- Maintain and update bid templates to ensure consistency and compliance with company standards.
- Write clear, concise, and professional bid narratives, ensuring that all information is organized, accurate, and tailored to client specifications.
- Review and proofread all bid documents for accuracy, grammar, and clarity before submission.
- Track and maintain a repository of bid documents, ensuring all records are up-to-date and easily accessible for future reference.
- Coordinate bid timelines, ensuring that deadlines for bid submission are met.
- Work closely with project managers, estimators, and leadership to ensure all required information and approvals are obtained promptly.
- Monitor and communicate any delays or issues that could impact the bid submission schedule.
- Serve as the primary point of contact for bid-related inquiries and correspondence with clients, subcontractors, and vendors.
- Assist in preparing and delivering bid presentations to clients or stakeholders when necessary.
- Identify and implement process improvements to streamline bid preparation and submission.
- Stay current on industry trends, bidding strategies, and relevant regulations affecting civil construction projects.
Qualifications:
- High school diploma required; bachelor’s degree in business administration, accounting, or management preferred.
- 3 years of experience in bid coordination, construction administration, or a related role required.
- General knowledge of government bid preparation and submission required.
- Exceptional writing, editing, and proofreading skills with an ability to communicate complex information clearly and concisely.
- Exceptional attention to detail and accuracy, with the ability to organize large volumes of information.
- Excellent organizational and time management skills with the ability to handle multiple bids simultaneously under tight deadlines.
- Strong interpersonal skills and the ability to work collaboratively in a team-oriented environment.
- Proficiency in Microsoft 365 and Adobe Acrobat.
- Familiarity with civil construction processes, contract types, and industry terminology.
- Experience working with subcontractors and vendors during the bid preparation process.
- Knowledge of local construction regulations and compliance standards.
Working Conditions and Physical Requirements:
- Requires sitting for extended periods while using a computer keyboard and mouse, intermittent standing and walking.
- Minimal lifting or physical exertion required.
