What we are looking for at QPSI?
Managing and communicating all phases of parallel projects to ensure that strict timelines are followed, and both internal and external deadlines are met. A major part of this position is to provide a proactive and forthcoming interface between the external customers and the QPSI staff, by maintaining a consistent and detailed open line of communication. The principal responsibility of every employee is to aid in the production of superior quality products.
The Project Coordinator Assistant reports to the Project Coordinator and is responsible for managing and communicating with the client base internally and externally. The employee is also responsible for managing various projects and timelines.
What our Project Coordinator will be accountable for at QPSI?
- Responsible for printing all reports related to projects.
- Responsible for label printing, reporting, and reconciliation for fulfilment programs.
- Post SAP Purchase order plus sub-assembly if necessary.
- Keep track of completion of all jobs and perform transactions for completion,
- Print all receivers and perform all necessary transactions.
- DPP Samples (make shipment boxes, create packing lists, send out communications, etc.).
- Perform transactions to set up new jobs.
- Update BOMs, POs, and Qty’s on all jobs.
- Maintain constant communication with QA, Shipping/Receiving, and Project Coordinators.
- Answer incoming calls if necessary.
- Communicates effectively and professionally with all levels of QPSI management and external customers and vendors.
- Review and assess vendor proposals if needed.
- Review and approve customer sales orders to ensure accuracy against current quote, prior to submission to accounting, if needed.
- Monitor project progress against original plan, to ensure necessary measures are taken to meet on-time delivery.
- Perform Job Summaries (end of job reconciliations) and to submit to customer upon request.
- Complete MDR (Material Destruction Requests) for all residual product, materials, and rejects.
- Investigate discrepancies/issues pertaining to planning/production department(s), and be available to offer detailed Corrective and Preventative Actions (CAPA) if necessary.
- Work with internal shipping department to provide project-specific shipping instructions, delivery dates, and special trailer requirements if necessary (ex-team drivers, temp-tale needs, etc.).
- Maintain and distribute accurate internal and external reports to all levels of management
- Maintain QPSI and customer-based databases and systems as required.
What Qualified Candidates for Project Coordinator must have to be successful at QPSI?
- High School Diploma or equivalent.
- Demonstrated knowledge of all aspects of supply chain, including procurement, international and domestic transportation, warehouse and distribution, inventory management, manufacturing and reverse logistics.
- Professionalism; Analytical, communication and presentation skills.
- Attention to detail and appreciation of deadlines are essential and a requirement in order to move projects through cross-functional teams.
- Demonstrated ability to manage multiple, parallel projects in accordance with company policies and industry standards.
- Demonstrated ability to meet stated customer initiated deadlines.
- Excellent oral and written communication skills, strong interpersonal skills, and superior organizational abilities.
- PC-based computing experience (Word, Excel, PowerPoint, Access, Visio, and MFG Pro). ERP experience preferred.
- Highly organized and ability to provide materials and process flow analysis.
- Ability to read, write, and understand English.
- Ability to take initiative, maintain confidentiality, meet deadlines, and work in a team environment essential.
Job Type: Full-time
Pay: $20.00 - $22.00 per hour
