Overview:
QuesTec Mechanical is seeking a skilled Project Management Coordinator to join our team at our Raytown (KC) location. The Project Management Coordinator plays a critical role in the success of QuesTec’s project management function. This team member assists the Project Manager in the oversight of all Constructor projects. The Project Management Coordinator will assist in the details of contract administration from start-up through closeout.
The technical components of this role and the industry knowledge are both trainable aspects of the position. Responsibilities:
- Prints full set of plans for office and field, preparing an estimated set for the PM (Project Manager)
- Sets up new files in all physical and electronic areas in project preparation
- Works with PM to gather and process submittals and returns to/from General Contractor (GC)
- Processes RFIs as received from General Contractor
- Secures necessary permits and licenses for projects, insurance, bonds for our work and subcontractors
- Obtains labor-related requests from PM or GC
- Writes purchase orders
- Writes subcontracts, including set up and monthly progress billing, and change orders as approved
- Proactively identifies issues that may lead to project problems and identifies solutions
- Assists in ensuring that all aspects of projects are compliant with contract terms and legal requirements
- Gathers, files and compiles O&M manual for each project
- Submits MSDS, safety manual, AHAs and any other project-related information required by the GCs
- Assembles T&M change orders as needed
- Processes change orders when CO is received from General Contractor
- Tracks substantial completion/warranty dates
- Inputs and manages project details in project software
- Manages conex tracking; assists in scheduling the moving of conexes as determined by project
- Coordinates materials deliveries with vendors, foremen and GLs
- Keeps PM abreast of changes or issues that may impact the success of the project(s)
- Completes valve tags, equipment warranty tags, framed instructions and any other project-related close out tasks
- Accepts directives and guidance from Project Manager
Additional responsibilities:
- Assists PM and Payables department when submitting pay app monthly
- Management of project documentation associated with each project, assisting PM in project closeout
- Monitors and records safety certifications for field workers on assigned jobs
- Other duties as assigned including meetings, trainings, etc.; available and willing to work overtime, as needed
Qualifications:
- Minimum of a high school diploma or GED
- Excellent time management and organizational skills
- Good communication skills (oral and written)
- Ability to work and interact with others in a positive manner
- Proficient with basic computer software programs
- Attention to detail and quality of work
- Ability to work independently
