WHAT THE ROLE DELIVERS

The position requires excellent interpersonal skills, a high level of initiative and the ability to work independently. Because this
role works with Roehm employees, Contractors, and others outside of Roehm, a strong understanding of appropriate external
communication and ethics is needed. Maintaining confidentiality and a high level of trust are critical. A strong proficiency is
needed to effectively use key tools such as PowerPoint, Word, Excel, Outlook, Access, Concur Expense Tool, and SAP.
Responsible for performing technical and administrative support duties, overseeing various aspects of administration including
recordkeeping, coordination of training for the site, and maintaining relevant documentation. Additional duties as assigned.

WHAT YOU WILL DO

  • Provides administrative support to the leaders (phone, calendar, announcements, travel arrangements, meeting scheduling, etc).
  • Creates and maintains confidential personnel and plant department files and filing organization, and ensures information is retained per Roehm document retention guidelines.
  • Oversees the overall office flow, functionality, and health of the staff.
  • Organize and coordinate meetings, agendas, reports, routine correspondence, and department presentations as needed.
  • Organizes department recognition events including retirement celebrations, milestone celebrations, etc.
  • Communication Focal Point, utilizing knowledge of the department, function, and business organizational structure to ensure all communications occur as needed.
  • Support the creation and maintenance of training program documentation (training documentation, guides, visuals, etc.) to support the overall structured Roehm Bay City Operations training program.
  • Ensures personnel emergency information is accurate for employee notification, hurricane duty, evacuation information, and ripple lists.
  • Maintains phone lists, department shared distribution lists, and organizational charts. Regularly reviews and updates as required.
  • Building management (mail distribution, office lock and key process, Building Sign In/Out Accountability log)
  • Travel Coordination - Creates travel profiles, aides others in travel arrangements utilizing knowledge of travel website, policies, commercial airlines and current Company travel restrictions. Coordinate complex domestic and global travel and assist with the expense management process
  • Research and/or prepare materials for meetings and presentations; compile reference materials as needed as directed by executive.

WHAT WE ARE SEEKING

  • 5 or more years of experience in an office professional and/or administrative support role.
  • Trustworthy and able to manage confidential information (personnel performance, business negotiations, etc).
  • Demonstrate leadership skills, representing department leadership, with the ability to positively influence others.
  • Strong interpersonal skills. Must be comfortable communicating and interacting with a variety of people at all levels of responsibility.
  • Strong written, organizational and verbal communications skills.
  • Able to work and adapt to change in a fast-paced work environment and handle a variety of tasks simultaneously.
  • A self-starter who can identify, prioritize and accomplish multiple tasks to meet internal and external deadlines and goals.
  • Independent thinker and be able to find solutions to issues.
  • The ability to work effectively both individually and in a team environment is critical.
  • Expertise using productivity software tools in Microsoft Office (Outlook, Word, PowerPoint and Excel),
  • Concur, SharePoint, MS Teams, SAP and/or related applications.
