Our client, a Houston area law firm, is seeking a highly skilled and detail-oriented Administrative Assistant / Legal Assistant to join their law firm. The ideal candidate will have at least 3 years of experience as a Legal Assistant, Receptionist, or Legal Secretary in a law firm setting. This position offers the opportunity to support a dedicated and self-sufficient team while handling a range of administrative and legal tasks. The candidate will report directly to the attorneys and other legal staff and will be responsible for assisting with administrative duties, client communication, document preparation, and general office operations. As a new team member, you'll be expected to maintain a professional demeanor while ensuring everything runs smoothly in the office.
Key Responsibilities :
- General Administrative Support :
Answering phones, taking messages, and directing calls as necessary
Greeting clients and visitors with professionalism and courtesyManaging schedules and calendars, including Zoom calls and meetingsCoordinating travel arrangements and preparing itinerariesPreparing and submitting expense reportsPreparing and maintaining office and kitchen suppliesHandling mail (certified mail, mailouts, stamps.com), including package shippingPreparing conference rooms for meetings and client appointmentsDocument Management and Paralegal Support :Proficiently managing documents in MS Word, including styles, table of contents, footnotes, and editing for accuracy
Creating and preparing binders with tabs and organize content for client meetings and court filingsAssisting attorneys in time entry for billable hours when requiredInputting client expenses into billing systemsWorking with Excel to update spreadsheets and perform data entry tasksUtilizing Adobe for document editing and managementVendor and Building Management :Acting as the point of contact for all building-related matters and vendors
Managing parking validation and coordinating access for visitorsQualifications :
A minimum of 3 years' experience as a Legal Assistant, Legal Secretary, Receptionist or in a similar administrative role in a law firm settingStrong proficiency in Microsoft Office Suite (Word, Excel), Adobe, and other relevant office softwareExcellent communication skills, both written and verbalAbility to maintain confidentiality and handle sensitive information with professionalismExceptional organizational skills, with the ability to prioritize and manage multiple tasks efficientlyAdditional Notes :
