Essential Duties
Administrative Support:
· Calendar Management: Schedule and organize meetings, appointments, and travel for the President and Vice President (Executive Management), ensuring all commitments are met.
· Email Management: Monitor and respond to the executive management emails, prioritize urgent matters, and manage correspondence.
· Document Preparation: Draft and edit reports, memos, presentations, and other documents as needed.
· Record Keeping: Maintain and organize files, both physical and digital, ensuring easy access and compliance with company policies.
Communication:
· Liaison: Act as the primary point of contact between executive management and internal/external stakeholders, including clients, vendors, and team members.
· Phone Support: Handle incoming calls, addressing inquiries or directing them to the appropriate department.
· Meeting Coordination: Arrange logistics for meetings, conferences, and events, including virtual meetings.
Qualifications:
GED or diploma, attention to detail, documented work experience in an office setting. Some college required. Associates degree preferred. Bilingual required.
· Internal Communication: Help communicate the executive directives and messages across the company as needed.
Operational Support:
· Inventory Management: Assist with tracking supplies and assets for operations.
· Data Entry: Maintain accurate records in project management software, CRM systems, and financial documents.
Event and Client Support:
· Event Planning: Help plan and execute company events or site visits, including handling logistics, catering, and transportation needs.
Miscellaneous:
· Research: Assist in researching new landscaping trends, vendors, or business opportunities.
· Confidentiality: Handle sensitive company information with discretion and professionalism.
· Task Prioritization: Help the executive management manage their workload by assessing priorities and following up on pending tasks.
Physical Requirements and Working Environment
· Performs work outdoors during all types of weather and temperature conditions
· Is aware of normal work hazards and exposure to fertilizers and pesticides
· Performs work while standing or walking.
· Must be able to lift and move 50 lbs. repeatedly for handling of merchandise
Job Type: Full-time
Pay: From $15.00 per hour
Expected hours: 30 – 40 per week
