Overview:
Active Construction Company seeks an Office Support Specialist with a strong work ethic who is proactive, resourceful and highly motivated to tackle a variety of office tasks. The chosen candidate will also be responsible for developing/implementing and maintaining a social media presence for the company.
Currently, we are hiring for part-time work 3 days a week, approximately 24 hours a week. However, full-time is an option for the right candidate that demonstrates a high level of initiative and productivity.
Responsibilities:
· Data entry/reviewing documents with high level of accuracy and attention to detail.
· Maintain multiple office spreadsheets, documents and paper files.
· Answer phone calls: route calls, take messages, answer questions, take and track orders.
· Bookkeeping responsibilities including but not limited to:
* Orders – take and process customer order, schedule deliveries and pickups.
* Accounts Receivable – process invoices, credit card payments, deposit checks, sales tax returns, collection calls.
* Accounts Payable – enter invoices, process payments, bank reconciliation.
· Complete paperwork for bidding projects and submitting bids within hard timelines.
· Review contracts, write sub-contracts and send out all paperwork in a timely manner.
· Work with insurance companies (bonds, work comp, auto, claims, certificate of insurance).
· Be an active MN Notary or the ability to obtain.
· Manage contractor licenses and employee certifications.
· Order office supplies and maintain office equipment.
· Design and implement market strategies to increase office visibility in the community.
· Stay up to date on the latest social media platforms, trends and best practices to ensure maximum effectiveness.
· Monitor and analyze the effectiveness of advertisements and adjust strategies as necessary.
· Take initiative to find, learn about and present ideas that would be beneficial to the company.
