An Environmental Consultant and construction firm is looking for a Project Administrator for its Landfill Project in Covina, CA.
Project Location:

- The Project Administrator will be working from a construction trailer onsite.
- This is a Temporary position that could turn Permanent.
Duties Include
- Prepare draft reports for management review and incorporate feedback to prepare final reports for client submission.
- Prepare data tables, charts, and graphics for monthly reports and client presentations.
- Assist managers with preparation and update of project budgets and project schedules and tracking project revenue and expenditures.
- Prepare, distribute, and electronically file monthly invoices and billing projections.
- Support field staff and managers in managing field-testing equipment and compiling equipment use logs.
- Request and track cell phones and orders for assigned projects.
- Create and issue Purchase Orders for supplies, rentals, and project materials, tracking all purchases and related documents with an emphasis on cost reduction and efficiency.
- Distribute Purchase Orders to vendors, provide Purchase Order numbers to personnel at field and office locations, and send Purchase Orders and Receiving Reports for Accounts Payable processing.
- Prepare and distribute accounting reports and invoice logs.
- Review reports and invoice logs and correct errors by completing invoice correction and revenue reduction forms.
- Complete interactive billing and post invoices.
- Process employee timesheets and expense reports.
- Assist managers with proposal preparation and other business development activities, including miscellaneous correspondence and presentations.
- Prepare and maintain the proposal file.
- Assist managers with technical and client correspondence.
- Maintain files, coordinate routine maintenance, and provide pricing/recommendations for office equipment purchase/leasing.
- Provide administrative support for Health and Safety Representative, including setting medical monitoring appointments, safety training, and preparation of quarterly Health and Safety reports.
- Arrange travel, lodging, conferences, and catering.
- Associate’s degree or Business School Certificate preferred.
- 2 or more years of relevant working experience.
- Valid driver’s license with a driving record in good standing (Required)
