What are the responsibilities and job description for the Office Assistant ( Part time ) position at Racine, County of (WI)?
For the County Clerk -
- Assist the public on telephone and at the counter by issuing marriage licenses and taking applications for U.S. passports.
- Answer questions and give Oaths (swear in applicants), and notarize documents.
- Process dog licenses including invoicing municipalities at year end.
- Balance accounts including the cash drawer.
- Assist with preparations for elections including entering information for absentee voting, record voting history after elections, and voter registrations into the state's database.
- Assemble election materials and supplies, proofread ballots and testing.
- Compile information for the Official Directory and the County Board Index, proofread County Board minutes for newspaper publications, and prepare reports and correspondence.
- Maintain up to date files and records and prepare reports as required.
- Monitor and order supplies.
- Perform the duties of the Deputy County Clerk in his/her absence.
For the County Board -
- Assist the County Board and County Board Committees, including preparing agendas, meeting packets and reports, scheduling meetings, sending notices, and answering letters in accordance with general instructions.
- May take minutes and perform work for Board Committees and other committees.
Supervision Received: Receives direct supervision from the Deputy County Clerk. May receive work direction and assignments from the County Clerk, County Board Chair, Vice Chair and other County Board Members.
Hours for part-time position: Monday - Friday 11:30 a.m. to 4:30 p.m.- High school diploma or GED equivalent plus five years responsible office experience.
- Prompt and regular attendance.
- Ability to take and transcribe notes at meetings and to be cognizant of motions and actions taken by County Board members.
- Proficient in the use of Microsoft Word and Excel.
- Ability to perform mathematical computations accurately.
- Ability to perform data entry on computer terminals.
- Ability to follow oral and written instructions.
- Ability to handle multiple tasks.
- Ability to communicate effectively with other employees, elected officials and the general public.
