Job Summary
We are seeking a reliable, detail-oriented, and proactive office manager to oversee the daily operations of our chiropractic and spinal decompression office. This role requires strong administrative skills, financial awareness, and patient interaction, as well as experience managing accounts receivable, insurance billing, and scheduling.
Pay is based on experience, previous training, and track record—those with strong financial, operational, or healthcare administration backgrounds will have the opportunity to earn at the top of the range.
The ideal candidate will take initiative in maintaining an efficient, organized, and welcoming environment while ensuring that patient accounts, office budgeting, and revenue management are handled effectively. Performance-based bonuses are available for meeting efficiency, collections, and patient satisfaction goals.
Key Responsibilities
Office Administration & Attention to Detail
- Oversee daily operations to ensure efficiency.
- Manage patient scheduling and workflow optimization for chiropractic and spinal decompression treatments.
- Maintain accurate patient records, insurance documents, and case files in compliance with HIPAA regulations.
- Utilize AI-based tools for scheduling, documentation, and workflow automation.
- Keep track of supply inventory and budget for office needs.
Accounts Receivable & Financial Management
- Handle accounts receivable, track outstanding balances, and follow up on payments.
- Ensure timely and accurate patient billing, collections, and reconciliation of payments.
- Work within set office budgets to control expenses while maintaining efficiency.
- Monitor monthly office expenses and identify cost-saving opportunities.
- Assist in financial planning and revenue tracking to meet performance goals.
Training & Professional Development
- Participate in ongoing training to stay updated on office systems, insurance policies, and compliance regulations.
- Train and support other team members as needed to ensure office efficiency.
- Help implement new technology and workflow improvements to enhance productivity.
Patient Coordination & Assistance
- Greet and assist patients, ensuring a professional and friendly experience.
- Help patients complete necessary forms and understand office policies.
- Assist in setting up patients on decompression therapy when needed.
- Support the doctor or assistant during patient care and documentation.
- Process payments, co-pays, and deductibles accurately.
- Coordinate follow-up care, appointment reminders, and patient documentation.
Insurance & Billing Management
- Verify insurance coverage, MedPay, and third-party billing for chiropractic care.
- Handle insurance claims, coding (ICD-10, CPT), and claim follow-ups.
- Follow up on unpaid or denied claims to ensure timely reimbursement.
- Maintain compliance with insurance, HIPAA, and financial documentation standards.
Budgeting & Performance-Based Bonus Structure
- Work within set office budgets and track financial performance.

Preferred Qualifications
- 2-3 years of experience in medical office management (chiropractic, rehabilitation, or healthcare preferred).
- Strong knowledge of accounts receivable, insurance claims, and medical billing.
- Proficiency in EHR/EMR systems, billing software, and Microsoft Office.
- Experience with AI-driven tools and X-ray digitization is a plus.
- Comfortable assisting with patient setup for decompression therapy.
- Excellent attention to detail, communication, and interpersonal skills.
- Ability to multitask, prioritize, and manage time effectively.
- Strong understanding of HIPAA regulations and financial documentation requirements.
Physical Requirements
- Sitting for long periods may be required but not always.
