General Description
Working under the direction of the office of Commissioner Craddick of the Railroad Commission of Texas, the Executive Assistant represents the Commissioner’s office in an exemplary manner with a friendly, helpful attitude while providing highly advanced (senior-level) executive support. Serving as the first point of contact to greet and direct visitors to
the offices of the Commissioner, the Executive Assistant also answers a high volume of incoming calls, and routinely processes confidential and sensitive information.
The ideal candidate will be detail-oriented, possess strong organizational, written, and verbal communication skills, enjoy working in a dynamic, fast-paced environment, and be able to adapt as circumstances require. In addition, the ability to exercise good judgment in all situations is required. This position has considerable latitude for the use of initiative and
independent judgment to handle a wide variety of duties. The ideal candidate must be able to work under pressure, with frequent interruptions, to perform a variety of activities while maintaining strict confidentiality in all matters.
Essential Job Duties
- Provides executive administrative support of the daily business activities of the offices of the Commissioner. This includes answering, screening, and routing phone calls; preparing and editing complex correspondence, memos and/or presentations and spreadsheets; and professionally and pleasantly greeting/routing visitors to Commissioner’s office.
- Schedules logistics, arranges and prepares materials, documents and all associated materials for Commissioner’s office, and other meetings as directed.
- May assist in developing, reviewing and/or communicating administrative policies, procedures, standards, and methods.
- May assist in the evaluation of administrative practices and/or programs; in providing input into developing and revising policies, procedures, standards, and methods.
- Plans administrative assignments, programs, and other administrative matters for Commissioner’s office.
- Provides a broad variety of administrative assistance.
- Prepares, reviews, and finalizes meeting agendas for distribution to appropriate staff.
- Prioritizes duties, as necessary.
- Coordinates relief schedule to ensure adequate desk coverage.
- Maintains and runs Commissioner’s suite and ensures that the facilities are always clean.
- Performs related work as assigned.

Minimum Qualifications
- Graduation from an accredited four-year college or university.
- 10 or more years of experience as an Executive Assistant or in a comparable administrative role.
- Experience working in a dynamic, high-profile environment.
- Must be willing to work in the office 8:00 AM – 5:00 PM Monday through Friday.
Preferred Qualifications
- At least 10 years of prior service working for the State of Texas.
- Experience working for elected or appointed officials.
Knowledge, Skills, and Abilities
- Knowledge of accepted business practices and procedures.
- Knowledge of applicable rules, regulations, and policies, including but not limited to the Texas Open Meetings Act.
- Expertise and demonstrated success in the duties, responsibilities, and functions of being a C-level Executive Assistant, preferably in state or federal government, or regulatory authority.
- Advanced Microsoft Office skills in Outlook, PowerPoint, Word, and Excel.
- Skill in prioritizing a wide range of duties and adapting appropriately as priorities change.
- Skills in analyzing and organizing information and solving problems.
- Skill in official business correspondence and effective communications, both verbally and in writing.
- Skill in instructing and supervising the work of others.
- Skill in the use and maintenance of standard office equipment.
Work Hours and Telework: Standard office hours for Commission employees are 8:00 a.m. to 5:00 p.m., Monday through Friday. Our agency offers alternate schedules for employees, as long as it does not adversely affect operations and service levels, and standard hours of operation are maintained. The Commission may also offer telework based on the agency’s approved Telework Plan. Alternate work schedules and telework may be discussed with the hiring manager during the interview process.
