Service Coordinator

Summary/Objective: The Service Coordinator is a key member of the Client Relationship Team, responsible for the coordination of the scheduling of Irrigation Services (calling, confirming, and following up on irrigation/drainage service appointments) while maximizing productivity and efficiency. This position is a key influencer of client experience and as such, must possess a positive, patient, and sometimes diplomatic approach to client requests in contrast to scheduling and seasonal challenges. This job is an in-office position, remote is not an option. You will be required to work in office every day. We need someone we can count on.
Duties and Accountabilities
- Answer & screen Incoming Customer and Technician Phone Calls/Emails
- Oversee and facilitate the complete process of all Service Appointment
- Manage General Service Agreements to ensure compliance
- Route and provide accurate detailed notes for service technicians via the routing system
- Call/email clients to confirm and follow up on service appointments
- Support the field technicians with customer contact as needed
- Maintain contact with service technicians to confirm location, update or change routing information
- Update Client Portfolio Databases with service technician notes in Real-Time
- Ensure Jobs are Complete, Report Additional Work Needed and/ or Schedule unfinished or change order/upsell appointments for customers.
- Process each service stop-invoices in Real-Time, and send to customer
- Accounts receivable – collecting payments (over the phone), sending to collections etc.
- Proactively plan and organize the service schedule weeks in advance
- Respond to and resolve client requests under seasonally stressful and time sensitive circumstances over the phone and via email, and know when to escalate
- Manage inventory
- Additional duties as required such as, but not limited to, filing, photocopying, organizing, cross-training in related positions.
- Monitor Operational Reports- Weekly Service Department Reports
- Provide support to office and field associates as directed
Knowledge and Skills Preferred
- Demonstrate strong Skill Set in Organization with Attention to Detail Ability to Handle Pressure, and Problem Solving
- Strong communication skills to include professional phone and email etiquette.
- Advanced Customer Service Skills w/ Extremely Strong Multi-Tasking Skills
- Ability to work well with others as well as independently and remain productive
- Excellent Map/Logistic Skills (Geographical Knowledge of Service Area)
- Dependable & Reliable
Helpful Knowledge and Skills
- Ability to maintain professional composure in high-stress situations.
- Previous experience with Microsoft office programs such as Outlook, Word and Excel
- Proficient with computers including spreadsheets, documents, email, internet and typing.
- QuickBooks Online

Weekly pay: $25-$30 an hour depending on experience
