We are looking for a Front Office Assistant to join our group.

The Front Office Assistant performs various routine and general office duties to support the staff and organization.

On an average day, you will: 

  • Performs routine clerical duties including typing, filing, and completion of forms.
  • Operates office machines including copiers, scanners, phone and voicemail systems, personal computers, and other standard office equipment.
  • Serves as the receptionist for the office, greeting visitors and patients.
  • Answers phones, directs calls to appropriate individuals, and prepares messages.
  • Copies, sorts, and files records related to office activities, business transactions, and other matters.
  • Prepares letters, memos, forms, and reports according to written or verbal instructions.
  • Sorts incoming mail, delivers to appropriate department or individual, and processes outgoing mail.
  • Maintains filing systems either manually or electronically.
  • Manages calendars and schedules appointments.
  • Orders office supplies and maintains stock at sufficient levels.
  • Assists other team members as needed.

To qualify for this job you must have: 

  • High school diploma or equivalent.
  • Customer service experience.
  • Experience working in a health care setting.

We’d also love it if you have: 

  • General knowledge of health care terminology.
  • Administrative writing, typing, and reporting.
  • Use of office equipment and computer software programs.
  • Time management, problem-solving, multitasking, organizing, and prioritizing .
  • Maintaining confidentiality of sensitive information.
  • Working independently and completing assignments in a timely, accurate, and thorough manner.
  • Exhibiting a professional manner in dealing with others and working to maintain constructive working relationships.
  • Strong organizational skills and excellent attention to detail.
  • Excellent verbal and written communication skills. 

Physical requirements and work environment:

  • Sitting for approximately 90% percent of the day.
  • Periods of standing, bending, and reaching.
  • Fine motor skills.
  • Typing on a keyboard for extended periods of time.
  • Visual acuity.
