About the Role
We're seeking a detail-oriented Team Coordinator to support our restoration team by managing critical administrative functions. In this role, you'll be the organizational backbone for our Team Leaders and Project Managers, coordinating schedules, handling client communications, and ensuring smooth project workflows.
Key Responsibilities
- Coordinate office schedules and maintain project tracking for Estimators and Project Managers
- Communicate with customers regarding appointments, payments, and project updates
- Manage collections of deductibles, progress payments, and final payments as needed
- Maintain detailed documentation in project management systems and job files
- Process essential paperwork including purchase orders, work orders, and reports
- Liaise with insurance companies, agents, and clients throughout project lifecycles
- Provide phone support and direct client inquiries appropriately
- Present a positive company image through professional communication
- Assist with crisis management and problem-solving as issues arise
Qualifications
- 2 years of professional experience in administrative coordination or related field
- Associate's degree from an accredited college
- Strong proficiency with Microsoft Office suite (Outlook, Word, Excel, PowerPoint)
- Experience with Quickbooks
- Exceptional organizational skills with ability to manage multiple projects simultaneously
- Outstanding written and verbal communication skills
- Detail-oriented with strong problem-solving abilities
- Valid driver's license with satisfactory driving record
Physical Requirements
- Primarily office-based role with standard office equipment
- Occasional need to lift up to 25 lbs
- Ability to occasionally bend, kneel, and reach to file and retrieve information
