The Accounts Payable / Office Administrative Support position, under the direction of the Office Manager, enters and verifies invoices / payments, reconciles account balances, tracks payments, work with insurance provider and provides administrative office support.
Responsibilities
- Receiving and entering invoices.
- Ensure the that invoices are cost coded properly and processed with proper backup.
- Ensure that invoices receive proper approvals.
- Reconcile credit card charges and code to appropriate project / category.
- Enter invoice information into accounting software (Quick Books) and schedule for payment.
- Accounts Receivable- communicate professionally with clients to follow up on invoices.
- Accounts Receivable- track status of AR and 30, 60 and 90 days.
- Process certificate of insurance requests as needed
- Request performance / payment bonds as necessary for new contracts
- General Office Admin- Answering Phones, Filing, etc.
- Provide backup on Health Insurance
- Process DMV transactions for vehicles.
- Provide backup and support to Office Manager
