Position Summary:
Support the Core Values of Ranch Hope by upholding all standards relating to quality, partnership, integrity, empowerment, stewardship, safety and compassion. Provide administrative support to the Chief Executive Officer and the Executive Team by professionally organizing correspondence, making appointments and managing schedules, activities, reports and appointments. Participate in special projects as needed. Demonstrate excellent interpersonal skills while interacting with all co-workers, board members, donors, volunteers, youth, families, visitors and callers. This position frequently handles sensitive and/or highly confidential information.
Knowledge:
· Experience in the non profit, mental health, health care, government or educational sectors
· Experience in a nonprofit organization with over 50 staff members
· Advanced knowledge of Microsoft Office programs to include the Microsoft Office Suite and additional applications such as Planner
· Knowledge of social media platforms, including Facebook, Twitter, Pinterest, Instagram, LinkedIn, etc.
· Advanced experience with business etiquette and professional boundaries

Duties & Responsibilities:
· Provides administrative support and assistance to the CEO and Executive Team, including:
·Acting on behalf of the CEO in managing various requests for and management of information
· Collecting information and preparing information for Executive Team and Board of Directors meetings
· Scheduling in person and virtual meetings
· Taking meeting minutes
· Maintaining and managing calendars
· Creating and assisting with special projects
· Prepare correspondence, presentations, charts, or other material for meetings and events as requested.
· Assist in event planning and coordination of various activities or events related to public relations and fundraising.
· Answer and direct incoming telephone calls, and greet Ranch Hope visitors at the receptionist area as needed.
· Take and relay accurate, concise and timely telephone messages.
· Read and route incoming mail, emails and social media posts on behalf of the Chief Executive Officer.
· Order and maintain supplies for the department and plan for equipment maintenance as needed.
Education & Professional Experience:
· 5 Years Prior Executive Assistant/Secretarial experience in an office environment required, or
· Bachelor’s degree with two years relevant professional experience
· Continued education in Social Work, Liberal Arts or Political Science background is preferred
Certifications/Licenses Required:
· Must possess valid NJ Driver License

· Hearing and speaking to exchange information
· Seeing to read materials and correspondence
· Dexterity of the hands and fingers to operate business equipment
· Ability to concentrate on subject matter for extended periods of time
· Sitting, standing and/or walking for extended periods of time (as needed)
· Ability to lift and carry 20 pounds
· Walking, twisting, stooping, crouching, kneeling, bending over at the waist, grasping, reaching overhead, pulling and pushing as required by the job
Job Type: Full-time
Pay: $55,000.00 - $60,000.00 per year
