What You'll Contribute
The Manager, Administrative Support will provide high-level operational and administrative support to our Chief Legal, Government Affairs, and Communications Officer (“CLO”). The ideal candidate will play a pivotal role in enabling the CLO to focus on strategic priorities by managing day-to-day operational and administrative tasks with discretion and efficiency and assist in the management of the corporate communications, government relations, and in-house legal functions. This role will also involve project management, producing high quality documents and compelling presentations, tracking deliverables, and supporting the CLO in public appearances and events. The Manager, Administrative Support will be entrusted with sensitive and confidential information, so discretion and professionalism are paramount. The ideal candidate will collaborate with the CLO’s Chief of Staff, senior management, members of the department, and others across the company to ensure all responsibilities are executed accurately and efficiently.
What You'll Do
  • Manage the CLO’s workflow and calendar, including triaging requests, scheduling and coordinating meetings, appointments, and travel.
  • Create high-quality presentations and documents for various executive-level audiences, and external stakeholders.
  • Manage projects and track deliverables to ensure timely completion.
  • Assist with department-wide initiatives and culture-building activities.
  • Support the CLO in public appearances and events, including accompanying them as needed.
  • Represent the CLO with impeccable communication skills to internal and external audiences and the Board of Directors.
  • Collaborate effectively with the CLO’s Chief of Staff, senior management, members of the department and others across the company.
  • Handle and maintain highly sensitive and confidential information with highest standards of discretion and professionalism.
  • Help streamline processes, manage risks, and improve workflows within the CLO team.
  • Ensure compliance with company policies, procedures, and regulatory requirements, and assist the CLO comply with deadlines and administrative requirements.

What you have
  • Excellent organizational, planning, and time management skills.
  • Strong communication and interpersonal skills, with the ability to build relationships with stakeholders at all levels and represent the CLO.
  • Skilled in creating high-quality presentations and documents for senior executives and external stakeholders.
  • Experience in coordinating executive-level meetings, events, and public appearances.
  • Demonstrated ability in a corporate environment to work as part of a team and prioritize tasks in a fast-paced environment.
  • Demonstrated ability to maintain confidentiality, handle sensitive information, and exercise good and prudent judgment.
  • Exceptional attention to detail and accuracy.
  • Experience developing and implementing administrative policies and procedures.
  • Knowledge of office software and equipment, including Microsoft Office Suite and office management software, particularly MS Word and MS PowerPoint.
  • Strong problem-solving and decision-making skills.
  • Ability to work independently and as part of a team.
  • Willingness to work flexible hours as needed.
Preferred: Indicate “nice to haves” regarding education, skills, and experience.
  • Minimum of 5 years of experience in administrative support, project/program management, or communication support, with at least 2 years supporting one or more senior executives.
  • Experience in a communications department, law department, or similar functions where strong communication and presentation skills, and attention to detail are essential for success.
