Position: Sales Administrator
Description: Assist the Sales Manager in the execution and management of events and sales
Qualifications:
The ideal candidate is a master multitasker with excellent communication skills and a positive attitude.
This position requires a high level of attention to detail and problem solving.
This individual should be capable of assisting management and all visitors to the company by handling office tasks, providing polite and professional assistance via phone, mail, and email, and maintaining a helpful presence in the workplace.
Proficiency in computers and various software applications, including Excel, Microsoft Word, Google Docs, Outlook, and PowerPoint, is essential. Familiarity with ZOHO (CRM) and CaterTrax/Caterease (Catering Software) is a plus.
The assistant should have a genuine desire to meet the needs of others and be willing to embrace new systems and projects.
The candidate must have a minimum of 2 years sales experience in Catering.
Compensation: $21 / hour plus commission
Schedule: Monday through Friday but it may change depending on the volume and time of year. Additional workdays may be used for Training, Captaining and other Company needs. Weekends and evenings as requested.

Primary Responsibilities
- Assist in writing all event folders.
- Communicate and execute Final details with clients
- Send final event invoices to all captains in preparation for event execution
- Create thorough event timelines, and banquet equipment orders
- Filter communications regarding questions and answers related to events for the captains.
- Review of captains' questions with the Sales Team.
- Create layouts for on-premises events and off-premises if needed.
- Conduct on site venue and schedule on site tastings for social/ wedding/ corporate events prior to booking
- Conduct client site inspection to review details and create layouts and logistics
- Input basic catering orders.
- Revise catering orders as necessary.
- Call and manage off-premises rentals for events as needed.
- Prepare meeting spaces for the Sales Account Manager.
- Order linens for events, including Shasta, Celebrations, and GBS.
- Answer phone calls on a daily basis.
- Receive and assist with inputting payments.
- Contact clients regarding deposits and special requests as directed by the Sales Account Manager.
- Engage in cold calling to reach out to new and existing clients as needed.
- Attend day of events to ensure and further the guest experience.
- Mange multiple projects with the ability to shift priorities in a fast-paced environment
Additional Duties
- Follow procedures for checking equipment and food for all deliveries as requested.
- Maintain a thorough understanding of the driver's board, timelines, and warehouse operations.
- Direct any questions or concerns to management to ensure event accuracy. It's always better to ask than to assume.
- Be mindful of time and inform management proactively before issues arise.
- Communicate with the Sales Account Manager about any broken items needing replacement, including vans and dishes, or items requiring washing.
- Interact with customers over the phone, in person, and during walk-ins or appointments.
- Assist with tastings when necessary.
- Participate in weekly and daily meetings with the Sales Account Manager.
- Double-check that all pulls are correct for event orders as requested by the Sales Account Manager.
- Take care of company property as if it were your own.
- Assist the President and General Manager with special requests as warranted.
