Description : Position SummaryAdvanced level administrative supporting the marketing department. Expected to perform typical administrative functions as well as specific responsibilities and tasks unique to the department. Will utilize advanced administrative expertise in tasks such as preparing meeting agendas, memos, correspondence, coordinating calendars including scheduling and coordinating meetings and / or conferences, and attends meetings for the purpose of recording, preparing and distributing minutes and reports. This position will use function-specific knowledge & expertise learned through in-house training along with a thorough understanding of department operations, and organization procedures to perform special projects within the department and / or in conjunction with other departments. Processes confidential and sensitive information in support of administrative activities. Must be able to multi-task and use time management appropriately. Responsibilities

  • Responsible for incoming signed confirmations after being reviewed by department and posting initial term confirmations to files
  • Backup for processing daily / term trade confirmations
  • Assists during bid week to handle increased number of deals being done during that time (spot and term)
  • Responsible for updating and distributing the Gas Daily pricing spreadsheet
  • Establishing and maintaining a filing system for the confidential storage and retrieval of internal / external correspondence, records, reports and documents
  • Perform a variety of administrative duties such as composing correspondence and proposals, coding invoices for manager approval, handling expense reports, schedule conference rooms, and calendar administration
  • Keep inventory on all marketing department customer gifts and order new merchandise when necessary
  • Arrange all bid week lunches from outside vendors and make reservations for special Range events and dinners
  • Responsible for inventory and replenishing all needed work / desk supplies
  • Develop processes to streamline department activity and increase communication to aid the efficiency of operations
  • Work at various Range sponsored events including the golf outing and clay shoot
