The Director of Enrollment is responsible for overseeing the operations of Enrollment Services at Raritan Valley Community College, ensuring the effective management and confidentiality of student academic records. This role entails supervising staff, establishing departmental objectives, and coordinating workflows to guarantee the precise and secure handling of student data. The Director will provide strategic leadership to the enrollment services team, fostering professional development, training, and collaboration with other academic departments to optimize processes related to student information. Additionally, the Director ensures compliance with federal and state regulations, including the Family Educational Rights and Privacy Act (FERPA), and is charged with developing and maintaining robust systems for the secure storage, retrieval, and dissemination of student records.
Essential Duties:
Operational Oversight:
- Manage daily operations, including registration, document processing, advanced standing credit, transcript requests, enrollment verification, degree audits, and graduation processes.
- Ensure the proper maintenance and confidentiality of student records in compliance with institutional policies and FERPA.
Leadership and Supervision:
- Supervise and support the Enrollment Services staff by providing leadership to the admissions records team and other professional staff.
- Monitor staff performance, conduct annual evaluations, coordinate schedules, and identify professional development opportunities.
- Manage the budget for part-time staff and student workers.
Compliance and Training:
- Assist in maintaining compliance with FERPA and train faculty, staff, and students on FERPA regulations.
- Conduct workshops on confidentiality policies and support staff understanding of institutional procedures.
Workflow Management:
- Organize office workflows by prioritizing tasks, allocating resources, and addressing workload requirements to ensure efficient service delivery.
- Serve as the primary resource for resolving complex student issues that require higher-level intervention.
Staff Development and Technology:
- Train new staff and student workers on office practices, college policies, and the Banner system.
- Collaborate with Enrollment Services staff to analyze processes, recommend best practices, and implement technology-driven improvements and automation.
Transcript and Catalog Management:
- Oversee transcript processing and liaise with third-party vendors to address production, payment, and performance issues.
- Review and edit sections of the College Catalog, Lion's Den pages, and registration materials to ensure consistency and accuracy.
Compliance Reporting:
- Run compliance reports, including National Student Clearinghouse submissions, and generate Argos reports to support data-driven decision-making.
Collaboration with Stakeholders:
- Work with representatives from academic and student services offices, including Advising, Financial Aid, Admissions, Disability Services, and others, to streamline processes and improve the student experience.
- Partner with academic deans and department chairs to address and resolve student concerns in a timely manner.
- Evaluates and responds to students for exceptions to college policy in matters of academic history and refunds.
Special Projects and Additional Duties:
- Serves as the acting Registrar in the Registrar's absence and plays a vital role in maintaining the integrity, security, and confidentiality of student academic records while supporting institutional goals.
- Assist the Registrar with testing plans for Banner release upgrades.
- Participate in special projects and other duties as assigned, including process analysis and improvement.
Committee Participation:
- Serve on the College Registration/Tuition Appeals Committee and other institutional committees, including the Banner User Group and employment searches.
- Research, document, and analyze registration activity and student records for committee deliberations.
Professional Development and Representation:
- Represent the department at recruitment events, college activities, and professional development groups such as the New Jersey Directors & Registrars Around the Table (DRAT).
- Stay active in relevant professional organizations to remain informed on best practices in enrollment services and records management.
Job Requirements:
Bachelor's Degree required.
A minimum of three years of prior supervisory experience in college enrollment and responsibility for academic records management required. Solid understanding of laws and regulations such as FERPA, and other record-keeping and privacy laws; experience with transcript processing and graduation clearance procedures; the ability to lead, mentor, and manage a cross functional team effectively required.
Knowledge of BANNER database is required.
Strong administrative, technical, and interpersonal skills are essential.
Must be proficient in handling sensitive and confidential information.
A positive attitude with the ability to lead a team in a fast-paced environment is essential.
Ability to be both a team player and capable of working independently in a detail-oriented role.
Must be able to work effectively in a fast-paced, multi-cultural office environment.

This is an exempt position with a regular workweek of 37.5 hours.
Additional hours are required during peak registration periods and for engagement in nights and weekends.
