ORGANIZATION
The mission of Ravenswood Family Health Network (RFHN) is to improve the health of the community by providing culturally sensitive, integrated primary and preventative health care to all, regardless of ability to pay or immigration status, and collaborating with community partners to address the social determinants of health.
POSITION SUMMARY
Under the general direction of the Grants & Program Planning Supervisor, the Grants Program Assistant is responsible for providing support and assistance to Ravenswood Family Health Network (RFHN) in the following areas: grant processing, grant prospecting, grant coordination, grant writing, relationship management, and customer service.
HOURS
Full-time, 40 hours per week (1.0 FTE) from 8AM to 4:30PM*
*Work hours may change occasionally depending on need of supervisor and department.
DUTIES AND RESPONSIBILITIES
To be performed in accordance with RFHN Policies and Procedures
Grants Prospecting
- Monitors upcoming grant opportunities.
- Conducts regular in-depth grant online research.
- Researches and signs onto listservs for potential grant opportunities.
- Sends potential grant opportunities on a regular basis to Grants & Program Planning Supervisor and Development Director.
- Attends grant webinars and takes notes as directed by Grants & Program Planning Supervisor and Development Director.
Grant Administration
- Assists with creating calendar reminders for grant proposals and report deadlines.
- Assists with maintaining and updating the funder database in a timely manner.
- Creates Thank You letters.
- Saves important grant-related documents in the correct folders.
Grant Coordination
- Coordinates internal meetings for internal staff and Grants & Program Planning Supervisor and Development Director to discuss grants.
- Sends emails and/or makes phone calls to remind internal staff regarding the above-mentioned meetings.
- Helps take notes during meetings as directed by supervisor.
- Follows up with staff to obtain grant-related information as directed by supervisor.
- Helps coordinate site visits—creates parking/driving instructions, reserves conference rooms, prepares meeting packets, etc.
Grant Writing
- Creates templates for grant applications and reports.
- Assists in packaging and preparing attachments for grant proposals and reports as needed.
- Conducts data research to include in grant proposals and reports.
- Drafts brief language for grant proposals and reports.
Other Duties
- Assists with fundraising campaigns and events as needed.
- Assists with editing materials such as annual reports, print newsletters, press releases, brochures, marketing collateral, presentations, and handouts for a broad range of internal (staff, board members, etc.) and external (funders, donors, patients, news media, public officials, etc.) audiences if needed.
- Supports the CEO, Development Director, and Development Team as needed.
- Helps schedule and organize meetings between RFHN staff and members of the press, partner agencies, funders, donors, public officials, etc. as needed.
- Attends external events with funders, partners, etc. as needed.
- Other duties and projects as assigned.
Qualifications
QUALIFICATIONS
- Bachelor’s degree required (ideally in Public Health, Health Administration, English, Communications, Sociology, or a similar field).
- Experience with grant research, grant processing, grant writing, etc. strongly preferred.
- Strong organizational skills and attention to detail are a must.
- Ability to prioritize work, juggle multiple projects, and meet key deadlines.
- Strong written and verbal skills.
- Ability to be responsive via email and phone.
- Ability to maintain a positive attitude during stressful times.
- Strong interpersonal skills with a professional demeanor.
- Ability to effectively work independently and with a team.
- A commitment to continuous improvement and ongoing learning.
- Demonstrated experience working in a multi-cultural, multi-language environment.
- Flexible, creative, and well organized with the ability to multi-task.
- Computer literate in PC skills and Microsoft Office (Word, Excel, and PowerPoint) with the ability to use word processing, electronic spreadsheets, and other database programs to support data collection and reporting.
- Willingness and ability to accept responsibility, make sound judgments, know professional boundaries of skill, deal with diverse groups, a variety of personalities, and work as a collaborative team member.
- Ability to communicate effectively, build effective working relationships, and work directly with physicians, staff, managers, department heads, donors, board members, community organizations, and community members.

- Up to date with COVID-19 vaccines per current CDC guidelines strongly recommended.
The pay range for this position is $23.00 to $25.00 per hour. However, the final base pay will be determined upon a number of individualized factors such as (but not limited to) the scope and responsibilities of the position, job-related knowledge, skills, experience, education and certification levels, and departmental budget. We also consider internal equity with our current employees when making final offers.
