Events Coordinator
LOCATION : Rawhide Event Center
COMPENSATION : DOE
FLSA STATUS : Part-time; Non-Exempt

REPORTS TO : Sales Account Executive
Summary :
The Events Coordinator will be responsible for coordinating all aspects of events, from initial planning to post-event evaluation. This role involves coordinating major events, sponsored events, and corporate group events, and banquets, ensuring seamless execution. The Events Coordinator will collaborate with clients, vendors, and internal teams to ensure events are successful and align with organizational objectives. Additionally, they will balance delivering hospitality and services with promoting revenue centers.
Responsibilities : Event Planning :
- Collaborate with clients to understand event requirements and objectives.
- Develop comprehensive event proposals, including budgets, timelines, and logistics plans.
Vendor Management :
Ensure all vendors deliver services according to agreed-upon contracts and specifications.Logistics Coordination :
Coordinate all logistical aspects of events, including venue setup, transportation, accommodations, and audio-visual requirements.Collaborate with appropriate departments, such as safety, vendors, facilities, and operations.Implement measures to assess event effectiveness and success.Client Communication :
Serve as the main point of contact for clients throughout the event planning process.Provide regular updates, gather feedback, and address any concerns or changes in requirements.Establish and maintain relationships with diverse stakeholders.Team Collaboration :
Collaborate with internal teams, including marketing, sales, and operations, to ensure seamless coordination of event activities and alignment with organizational goals.On-Site Management :
Oversee event setup, execution, and breakdown, ensuring smooth operations.Coordinate staff, volunteers, and vendors to meet event objectives.Address complaints promptly and convey warmth and efficiency to guests.Post-Event Evaluation :
Conduct post-event evaluations to assess the success, gather feedback, and identify areas for improvement.Stay Updated :
Keep abreast of industry trends, best practices, and new event management technologies.Recommend and implement techniques to improve productivity, reduce costs, and enhance guest services.Required Qualifications :
High school diploma or equivalent(GED).Three (3) years of demonstrated events or salesProven experience in event planning and coordination, preferably in a corporate or hospitality setting.Flexibility to work evenings, weekends, and travel as required by event schedules.Valid AZ driver's license, provide a 39-month violation-free MVR report.Obtain a Tribal operator license driving permit at the time of hire.A satisfactory result obtained through a test for illegal drugs.Acknowledge and agree to maintain a drug-free workplace.Preferred Qualifications :
Bachelor's degree in hospitality management, marketing, communications, or a related field.Certification in event planning or hospitality management (e.g., Certified Meeting Professional, Certified Special Events Professional).Portfolio of successful events coordinated or references from previous clients and employers.Strong organizational and multitasking skills, with the ability to manage multiple events simultaneously.Excellent communication and interpersonal skills, with the ability to build relationships with clients, vendors, and team members.Proficiency in event management software and Microsoft Office suite.Knowledge and experience working with Gila River Indian Community or other Native American Community.
