Membership and Education Coordinator Job Posting
Raybourn Group International (RGI) is seeking a full-time membership and education coordinator to join our Indianapolis office.
RGI is an AMC Institute Accredited Association Management Company. We provide outsourced association management, event planning and consulting services for dozens of nonprofits, trade associations and professional societies. We provide a number of services for our clients, including strategic planning, financial management, executive management, membership development, marketing/public relations, publications and social media, educational/professional development, and meeting/event planning, among others.

This position requires in-office work so fully remote staff will not be considered. Staff may work up to two days per week at home. Overnight travel (by plane or car) may be required to attend multi-day annual conferences (two weeks a year or less).
Membership Services:
- Serve as the primary point of contact for members, addressing association-related questions.
- Support new member application processes including managing applications, providing notification of approval, and sending welcome information to new members.
- Conduct daily maintenance of the membership database.
- Create, update, and send monthly membership reports, dashboards, and lists.
Financial Responsibilities:
- Process daily check and credit card payments, including membership dues.
- Create, send, and follow up on invoices to members and vendors.
- Handle monthly input of invoices to be paid by the association into the accounting software.
Event Administration:
- Assist with conference registration, including responding to questions and managing communications with speakers and presenters.
- Update and manage conference registration reports and tracking forms.
- Work with the Director of Events to coordinate sponsor benefits, exhibitor logistics, and shipments of conference materials.
- Organize event-related materials.
- Support input and management of information on conference apps and websites.
- Post webinars and events to websites, manage Zoom sessions, and coordinate follow-up emails to attendees.
Communications:
- Create and distribute membership communications such as a bi-monthly email newsletter and special announcements.
- Assist with website and social media content management (including creating graphics using tools like Canva).
General Administration:
- Sort and distribute all incoming mail.
- Respond to telephone and email inquiries related to both memberships and events.
- Schedule and manage meetings for teams, task forces, and workgroups.
- Assist in developing and maintaining rosters, meeting preparations, and follow-up requests for volunteer leadership.
Required Skills and Qualifications:
- Ability to handle multiple concurrent tasks, prioritize, and meet deadlines, and adapt to changing priorities.
- Proven ability to learn and follow complex procedures and policies.
- Can produce professional documents using Word and Excel.
- Ability to communicate clearly and effectively with team members, customers, and stakeholders.
- Proficiency in handing customer inquiries, particularly via email and phone.
- Strong attention to detail.
- Willingness and ability to learn new skills, with a commitment to continuous improvement.
- Desire and ability to be self-motivated and achieve job responsibilities independently.
- Confidence to engage with the team to reach common goals and collaboratively solve problems.
- Initiative to take on projects and foresee potential challenges and tasks.
- Familiarity with databases such as Salesforce and/or design tools such as Canva a plus.
- A Bachelor's degree or equivalent related work/intern experience is required.
