Job Summary:
The Human Resources and Front Desk Assistant will perform administrative tasks to support effective and efficient operations of the organization’s Human Resources Department, along with supporting the front desk as the first point contact for employees, internal and external clients. They will provide administrative support to the Human Resources department by managing employee records, assist with recruitment, coordinate the onboarding processes, answer employee inquiries regarding benefits and policies, and maintain HR databases. In addition to the Human Resources responsibilities, the Human Resources and Front Desk assistant will be responsible for managing the front desk, along with following front desk protocols and procedures, and answering any inquiries regarding office supply requests and assisting the Jr. Executive Assistant with maintaining an inventory of office equipment.
Key Responsibilities:
- Maintain accurate and up-to-date Human Resource files, records, and documentation.
- Assist with recruiting duties such as reviewing resumes, conducting phone screens, coordinating and scheduling interviews, following up with candidates, calling references, etc.
- Support human resource onboarding activities, including orientation logistics and employee documentation.
- Responsible for creating, updating, and closing job ads on website and several different job boards, along with ensuring up-to-date information.
- Assist with offboarding by collecting company property and updating records.
- Answer frequently asked questions from applicants and employees in relation to standard policies, benefits, hiring processes, etc.; refer more complex questions to appropriate senior-level HR staff or management.
- Maintain integrity and confidentiality of human resource files and records.
- Provide clerical support to the Human Resources department.
- Provide administrative support before, during, and after job fairs, as needed.
- Coordinate office supplies, conference room scheduling, and event logistics as needed. Maintain inventory and provide weekly updates of all office supplies and equipment to ensure proper and efficient supply ordering as needed.
- Responsible for supporting clerical tasks to support administration including being at the front desk and back up support for overflow of calls. Open, stamp, sort, and distribute mail to their respective departments.
- Assist with the assembly of basic office equipment and following instructions and quality control standards.

Experience Requirements:
- 2 years of administrative experience in recruitment and/or human resources, or related field.
- Excellent time management, organizational, and communication skills.
- Possess a high level of attention to detail and accuracy. Able to maintain strict confidentiality.
- Excellent attention to detail, organizational skills, and the ability to handle multiple projects simultaneously.
- Strong communication skills and the ability to work collaboratively with leadership, staff, and both internal and external clients.
- Proficient with Microsoft Office Suite or related software and the ability to learn new software systems.
- Bilingual required; Spanish/English preferred.
Education Requirements:
- High school diploma or equivalent required.
Certifications or Licensures:
- Valid MA Driver’s License.

Working Conditions/Physical Requirements:
- Typical office settings include the ability to spend extended hours sitting and using office equipment and computers.
- Move regularly from sitting to standing position as well as frequently bending to file and maintain files.
- Ability to work on repetitive tasks and use fine motor skills to handle and control objects.
- Ability to use earpieces or headphones. Speak, listen, and understand others.
- Occasionally lift 10 to 15 lbs.
- Occasional travel locally.
Pay:
- $21.00/hr – $24.00/hr
FLSA Status:
- Non-Exempt

- 8 hour shift

- Monday to Friday
- No weekends
