Job Description
This position is designed for a go-getter who is prepared for extensive training for a future in Community Association Management. The Administrative Assistant /Community Association Assistant provides administrative assistance to Association Managers. They work directly with Association Managers and Board of Directors at the direction of Association Managers. They assist is oversight of community associations, including the management and/or execution of all administrative/transactional activities required of the Association to maintain the Association’s positive financial and operational standing (for example: day-to-day operations, financial management, conducting meetings, taking meeting minutes, distribution of notices/memorandums to membership, and administrative reporting).
Title: Assistant CAM/Community Association Assistant
The Assistant CAMworks under the direction/supervision of a senior Community Association Manager.
The Community Association Assistant is not a licensed Community Association Manager or other licensure designation. The path towards licensure may be sought by the CAA in the future. Upon licensure, responsibilities may change to include those which can only be performed by a licensed CAM.
Status: Full Time, Non-Exempt
Reports to: Association Manager(s), Company Owners and/or Operations Manager. The Community Association Assistant generally receives direction from Association Managers, and because they are not licensed, shall not receive direct requests from board of director members without prior authority/direction from association management.
Hours: Full Time (8am-5pm M-F); Weekend or evening hours may be required.
Duties:
- Operate office equipment; copier, postal machine, telephone, computer and other equipment as necessary.
- Answer incoming telephone calls; respond to messages and requests as necessary.
- Efficiently handle or direct owner and vendor inquiries via telephone, email, facsimile and post office mail, consulting with property managers as necessary to provide best possible response.
- Type, scan and photocopy documents and other materials; including but not limited to, board minutes, memos, newsletters, general correspondence, insurance documents, invoices, etc.
- Coordinate mailings and distribution of notices and other correspondence to association membership.
- Maintain administrative files, reports and other documentation for individual properties.
- Attend board/membership meetings as requested by association managers.
- Perform property inspections to ensure properties/sites meet standards and requirements of community association documents. Report discrepancies to manager, document such discrepancies and determine corrective action needed to rectify problems and meet an effective solution. Follow up to ensure appropriate corrective action has been taken within specified time-frame.
- Analyze owner accounts for association fee delinquencies based upon individual association collections/late fee policies.
- Work with association bookkeeper.
- Perform other administrative or managerial duties as requested by managers.
Qualifications:
- Computer knowledge including Microsoft Office programs
- Effective oral and written communication skills, organizational and time management skills.
- Ability to work independently as well as under supervision and direction of other staff.
- Ability to work effectively as part of a collaborative team to meet deadlines and complete tasks.

Minimum Education:
- High School Diploma
- Associates Degree or higher preferred
