RE/MAX Concepts is seeking a highly organized and detail-oriented individual to fill the dual role of Office Manager and Legal Assistant at our Vista office. This position requires a dynamic individual with excellent multitasking skills, a strong work ethic, and a passion for providing exceptional customer service. The ideal candidate will be a dependable team player who thrives in a fast-paced environment.
This position is part of our RE/MAX Concepts Service Center and The Real Estate Service Center team and would report to the Director of Operations.
Responsibilities (Office Manager):
- Oversee daily office operations, ensuring smooth and efficient workflow.
- Open and Close the office (turn lights on/off, turn on coffee maker, unlock front door and lock up at close if app.)
- Answer questions, address complaints and provide accurate information.
- Coordinate scheduling of contractors when agents or tenants move in/out.
- Coordinate with Property Manager regarding changing of office locks, new keys and building maintenance. Maintain spreadsheet for working being done.
- Occasional bank runs for deposits.
- Maintain conference room schedule for agents and clients.
- Manage office supplies, equipment, and maintenance.
- Handle incoming and outgoing mail and deliveries.
- Assist onboarding new agents that are out of the Vista Office.
- Organize incoming checks and documents in either the overnight courier or to the correct closer.
- Maintain office organization and cleanliness.
- Answer incoming calls and direct calls or messages to the appropriate party.
- Develop ideas for improved office policies and procedures with the approval of the Director of Operations.
- Serve as the primary point of contact for building management, tenants, Realtors and staff in that location.
- Greet clients with a positive attitude.
- Additional responsibilities as needed.
Responsibilities (Legal Assistant):
- Provide administrative support to staff attorney at our Vista location.
- Prepare legal documents, such as deeds and affidavits, ensuring accuracy and completeness under the attorney's oversight.
- Type title opinions, title commitments, and final title certificates with the attorney's oversight.
- Organize incoming and outgoing abstracts for attorney or agents to get them where they need to be.
- Additional responsibilities as needed.
Qualifications:
- Proven experience as an Office Manager and/or Legal Assistant.
- Ability to problem solve.
- Proficiency in computer applications such as Microsoft Word and Google Products.
- Excellent written and verbal communication skills.
- Exceptional organizational and time-management skills.
- Ability to multitask and prioritize effectively in a fast-paced environment.
- High level of attention to detail and accuracy.
- Strong customer service skills and a professional demeanor.
- Ability to work independently and as part of a team.
- Dependable and reliable with a strong work ethic.
- Positive Attitude and desire to help others.
- Availability to work in the office Monday through Friday from 7:55 AM to 5:00 PM.
- High School diploma or GED
