Job Summary: The Real Estate Transaction Coordinator is responsible for managing all administrative aspects of the real estate transaction process. This role requires excellent communication skills, attention to detail, and the ability to work efficiently under pressure. The Transaction Coordinator serves as a liaison between real estate agents and their clients during the process of a real estate sale and effectively manages the administrative tasks involved in closing a sale.
Key Responsibilities:
Transaction Management:
- Coordinate transaction process from start to finish, ensuring a smooth and efficient process.
- Manage all paperwork in a timely manner, including contracts, disclosures, addenda, and other necessary documentation.
Communication:
- Act as a liaison between real estate agents, clients, escrow companies, and mortgage brokers to ensure all transactions proceed smoothly.
- Keep all parties informed about the progress of the transaction.
Client Support:
- Provide exceptional customer service to agents throughout the transaction.
Administrative Support:
- Maintain and manage all transaction documentation, ensuring accuracy and completeness.
Compliance:
- Ensure all deadlines are met and contracts are compliant with legal requirements.
- Coordinate with escrow, title, and mortgage loan officers to ensure all conditions are satisfied before closing.
Problem Solving:
- Address any issues that arise during the transaction process promptly and effectively.
General Office Support:
- Welcome all agents and visitors.
- Maintain and order supplies as necessary.
- Ensure office is clean and presentable.
- Run reports as necessary at the direction of management.
Skills and Qualifications:
- Proven experience as a real estate transaction coordinator or similar role in real estate.
- Knowledge of real estate transactions, contracts, and legal documents.
- Excellent communication and interpersonal skills.
- Strong attention to detail and organizational skills.
- Ability to work well under pressure and prioritize tasks effectively.
- Proficiency in MS Office and real estate transaction software (e.g., SkySlope, Follow Up Boss).
- Real Estate License is preferred.
