Accounts Payable (AP)/ Payroll Coordinator

Working from a combination of both the office in Harrisburg, PA and from a home office, the AP Coordinator is responsible for accurately compiling and preparing the school’s vendor accounts payable on a timely basis. Working under minimal supervision from the Chief Financial Officer, the AP Coordinator will ensure the preparation of accounts payable transactions according to prescribed procedures and regulations, as well as serve as a backup to the Payroll Coordinator.

 

The AP Coordinator is responsible for the successful completion of the following tasks:

• Enter new vendors into Sage Intacct, including the collection of IRS W-9 forms.
• Maintain accurate and current vendor information in Sage/Intacct accounting system.
• Prepare purchase orders for vendors where applicable.
• Receive, review, and verify vendor invoices.
• Identify and clarify unusual or questionable invoice items or prices by contacting vendors and/or school management and staff.
• Enter invoices into Sage Intacct for payment processing.
• Print and mail hard copy checks to vendors, when applicable
• Process ACH or credit card payments to vendors, when applicable
• Assist CFO with corporate card expense reporting
• Review and approve staff SAP Concur expense reports for allowability, proper coding, and payment processing
• Prepare, file, and deliver annual IRS 1099 forms for applicable vendors on a timely basis and in accordance with federal filing requirements.
• Serve as the back-up payroll processor when Payroll Coordinator is unavailable to confidentially and accurately process payroll
• Work with Payroll Coordinator for payment of all payroll deductions and withholdings including but not limited to local, state and federal tax levies, bankruptcy judgments, child support and student loan garnishments in accordance with governmental requirements.
• Assist Finance Department staff in reconciliation of payroll deductions to vendor invoices.

• Minimum Education/Certification:
  • Bachelor’s or Associate’s degree in accounting, business, or a related field preferred
• Experience Requirements:
  • Minimum of two (2) years of accounting experience, preferably including payroll
  • Experience working with accounting and payroll software such as UKG and Sage Intacct

• Working knowledge of accounting and auditing principles
• Working knowledge of federal IRS-1099 filing requirements
• Ability to multitask in fast-paced environment, and a logical mind to assess, filter, organize, and work with data.
• Ability to maintain discretion and confidentiality of sensitive information
• Ability to work well and communicate both written and orally with colleagues and vendors at all levels within a diverse, multicultural, collaborative environment.
• Proficiency utilizing Microsoft Office products, including Excel and Word

• Must reside in the state of Pennsylvania.
• Must pass background checks required for all school employees in Pennsylvania.
• May include limited travel outside of normal commute and/or overnight travel.
