**Job Summary:**
REACH Pediatrics Therapy Services is seeking a highly organized and experienced Administrative Assistant to join our team. This is a mid-level position that requires a friendly, mature, and assertive individual who can effectively communicate with families, ensure efficient scheduling, and support our clinic operations. The ideal candidate will excel at face-to-face interactions, handle sensitive information responsibly, and serve as a critical support to our Clinic Director, facilitating seamless communication and helping to maintain a well-organized, family-centered environment.
**Key Responsibilities:**
**Front Desk Duties:**
- Serve as the main point of contact for families, handling check-in and check-out processes efficiently and professionally.
- Collect copayments and address general questions or concerns related to insurance coverage and billing.
- Answer phone calls promptly, provide information about our services, and manage scheduling and rescheduling requests.
- Actively engage with families to ensure appointments are confirmed, scheduling is optimized, and cancellations or rescheduling needs are addressed swiftly and professionally.
- Oversee patient intake accuracy, ensuring all necessary forms, consents, and health information are complete and up-to-date.
- Coordinate with the Clinic Director to ensure patient scheduling is efficient and aligns with both family needs and clinic availability.
- Regularly audit schedules and intake records to ensure accuracy and continuity of care across the team.
**Additional Duties:**
- Act as the right hand to the Clinic Director, assisting with administrative tasks and ensuring clear, effective communication across the clinic.
- Proactively support the clinic team in identifying and resolving operational challenges.
- Provide occasional support for clinic marketing, events, and other administrative tasks as needed.
**Qualifications:**
- **Experience:** Minimum of 2 years of experience in a similar administrative role, ideally within a healthcare or therapy setting. Preferred but not required.
- **Skills:** Strong organizational skills, attention to detail, and the ability to multitask in a busy clinic environment.
- **Interpersonal Skills:** Friendly, professional demeanor with the ability to communicate firmly and confidently when necessary.
- **Technical Proficiency:** Familiarity with electronic medical records (EMR) systems, insurance verification processes, and proficiency in Microsoft Office Suite.
- **Other:** High level of maturity and ability to handle sensitive information with discretion.
