The Estimating and Engineering Support Specialist provides critical administrative and technical support to the engineering and estimating teams. This role is responsible for managing bid documentation, coordinating project-related communications, and assisting with the preparation of accurate and timely estimates and proposals. The ideal candidate is detail-oriented, highly organized, and comfortable juggling multiple priorities in a fast-paced, deadline-driven environment.
KEY RESPONSIBILITIES:
- Organize and maintain bid logs, prequalification forms, and estimating databases.
- Assist estimators in compiling detailed take-offs, cost breakdowns, and supplier/vendor quotes.
- Coordinate collection of pricing from subcontractors and vendors by distributing bid invitations and following up as needed.
- Track incoming bids and compile bid tabulations for review.
- Format and proofread proposals, bid forms, cover letters, and supporting documents to ensure accuracy and professionalism.
- Prepare and update project-specific spreadsheets and bid templates.
- Assist with document control during bidding, including drawings, addenda, and specification revisions.
- Maintain and update estimating folders and shared drives for accessibility and compliance.
- Support the preparation and submittal of RFIs (Requests for Information) during the bidding phase.
- Maintain internal schedules and calendars for deadlines, meetings, and submission dates.
- Participate in process improvements for estimating and engineering workflows.
- Provide administrative assistance to the department by handling correspondence, filing, data entry, and document formatting.
- Perform other duties assigned to support Estimating / Engineering department that align with company objectives.
SKILLS/ABILITIES REQUIRED:

- Organizational Proficiency: Capable of managing multiple tasks and projects simultaneously, maintaining structured records, and meeting tight deadlines without compromising quality.
- Effective Communication Skills: Excellent verbal and written communication abilities to interact with team members, clients, vendors, and stakeholders, ensuring clear conveyance of information and requirements.
- Proficiency in Microsoft Office Suite: Skilled in using Word, Excel, Outlook, and other relevant software for document preparation, data analysis, and scheduling.
- Problem-Solving Abilities: Adept at identifying issues, analyzing possible solutions, and implementing effective resolutions in a timely manner.
- Data Management Skills: Experience in maintaining and organizing large volumes of data, ensuring easy retrieval and confidentiality.
- Time Management: Ability to prioritize tasks effectively, allocate time efficiently, and adhere to project timelines and deadlines.
- Adaptability: Flexibility to adjust to changing project requirements and work environments, demonstrating resilience in the face of challenges.
QUALIFICATIONS:
- 2 years of experience in industrial, manufacturing, engineering, or estimating support role is preferred but not required.
- Strong proficiency in Microsoft Excel, Word, and Outlook.
- Experience with ERP systems such as GSS, SAP, or Oracle, including data entry, report generation, and process navigation is preferred but not required.
- Excellent organizational, multitasking, and communication skills.
- Detail-oriented with the ability to manage tight deadlines and shifting priorities.
- Knowledge of industrial terminology and estimating processes is a plus!
