About the Role
We are seeking a highly organized and proactive Executive Assistant to support the Director of the Feed Real Institute and CEO/Founder of Real Dog Box. This part-time, hybrid role is essential in ensuring smooth daily operations, managing HR and accounts payable functions, and handling a variety of executive and administrative responsibilities.
You will be working closely with the Director / Founder to help coordinate company-wide activities, streamline internal processes, and support both strategic and day-to-day needs. The successful candidate will be expected to work from our San Diego office at least two days per week.
Key Responsibilities
Executive & Administrative Support
- Manage the CEO’s calendar, appointments, travel arrangements, correspondence, scheduling appointments, etc.
- Prepare reports, presentations, and meeting materials
- Handle general office operations, supplies, and organizational systems (Google Drive, physical files, etc.)
Human Resources
- Oversee onboarding and offboarding processes
- Support recruitment, employee relations, and conflict resolution
- Process payroll, manage benefits, and handle claims (e.g., unemployment)
- Assist with training and development initiatives
- Maintain and update Employee Handbook and various business related Standard Operating Procedures (SOPs)
Finance & Accounts Payable
- Process invoices for all vendors
- Handle ACH and international wire transfers
- Maintain systems for invoice and payment tracking
Operations & Compliance
- Collaborate with cross-functional teams to ensure workflow consistency
- Conduct annual reviews of policies and procedures for accuracy and compliance
- Create new SOPs in response to evolving business needs
Events, Marketing & Sales Support
- Assist in planning and executing local events and campaigns
- Support CEO with B2B outreach, email marketing, and digital marketing efforts
Other
- Perform various ad-hoc tasks and special projects as needed
Qualifications
Required:
- Proven experience supporting senior executives in a fast-paced environment
- Strong attention to detail and organizational skills
- Proficiency in Google Workspace and Microsoft Office
- Experience with developing systems and operational processes
Preferred:
- Bachelor’s degree in Business Administration, Communications, or related field
- Experience in e-commerce or performance marketing
- Conflict resolution and negotiation experience
- Passion for dogs and canine nutrition
- Certified Professional Canine Nutritionist (CPCN) certification
- Familiarity with digital marketing tools and platforms
