We are seeking a proactive Business Operations Manager to support the company owner and senior leaders with administrative tasks while implementing business operation initiatives.

What You’ll Do:
COORDINATION & ADMINISTRATIVE SUPPORT (50%):
- Manage senior leader calendars, coordinate meetings, and resolve scheduling conflicts.
- Draft, proofread, and format correspondence, reports, presentations, and contracts.
- Conduct research to support strategic initiatives and prepare comprehensive briefs.
- Arrange travel plans and manage reimbursements for senior leaders.
- Maintain and organize electronic and physical records for senior leaders and the company.
- Serve as a liaison between senior leaders, clients, and stakeholders with professionalism and discretion.
- Handle confidential matters with integrity and sensitivity.
SHEPERDING GROWTH INITIATIVES FORWARD (40%):
· Coordinate communications and integrate activities among departments and functions.
· Implement assigned strategic & operational initiatives to enhance efficiency and productivity.
· Administer and update company policies, standard operating procedures (SOP), and systems.
· Track key performance indicators (KPIs) to compare against business plans and identify corrections and improvements.
SYSTEMS & OFFICE INFASTRUCTURE (10%):
- Ensure smooth facilities operations by managing leased spaces, supplies, and service vendors.
- Implement and maintain efficient facilities policies, processes and standards.
- Oversee a third-party Managed Service Provider (MSP) regarding our information technology (IT) and telecommunications infrastructure, hardware, software, and systems.
EXPERIENCE AND SKILLS:
- Bachelor’s degree in business administration, operations management, or a related field.
- A minimum of 5 years experience in Office Management, Operations Management, Project Management or similar role.
- Strong analytical and problem-solving skills with the ability to drive data-informed decisions.
- Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and business management software (ERP, CRM).
- Outstanding organizational, communication, and time-management skills.
- Ability to handle multiple tasks and prioritize effectively in a fast-paced environment.
- Generative AI Prompting using ChatGPT, Gemini, Watson, or Claude is a plus.

WORK ENVIRONMENT: The work environment is in an indoors office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, and filing cabinets.
HOURS: The position is full-time, at-will employment. General work hours will be approximately 8:30 a.m.–5:30 p.m. Monday through Friday. This position requires dependable attendance (as our rock) in the office. Occasional extended time and weekend work may be necessary.
LOCATION: Work will be primarily at the Company’s main office in Laurel, Maryland, with occasional travel to client offices, project sites, and elsewhere. Some local/regional travel using your vehicle is expected.
SALARY: Compensation will be commensurate with experience; Potential bonus based on personal contributions to Company performance.
