Job Overview
We are seeking a proactive and detail-oriented Event Coordinator to support our Events Team in executing a wide range of events. This role focuses on assisting team leaders and ensuring seamless coordination of event logistics, communication, and administrative tasks. The ideal candidate excels in organization, communication, and follow-through, helping the team bring event visions to life.
Key Responsibilities may Include a mix of the following;
- Team Support: Assist team leaders in event planning and coordination by managing assigned tasks, tracking progress, and ensuring deadlines are met.
- Speaker & Vendor Communication: Coordinate communication with speakers, vendors, and service providers as directed by team leaders, ensuring all details are captured and relayed accurately.
- Contract Coordination: Support leaders by organizing, reviewing, and tracking contracts with venues, vendors, and service providers, ensuring all necessary documentation is completed.
- Project Task Tracking: Maintain and update project management tools, spreadsheets, and task lists, ensuring all team members have access to up-to-date information.
- Logistics Coordination: Handle administrative logistics such as booking travel and accommodations for speakers, tracking shipping schedules, and assisting with event setup and breakdown plans.
- Documentation & Reporting: Maintain detailed event records, including timelines, contact lists, and post-event reports, to support team leaders in evaluating event success.
- Administrative Assistance: Manage calendars, schedules, and communication related to event tasks, ensuring the team remains organized and aligned.
- Resource Organization: Assist in researching vendors, compiling options, and organizing materials, spreadsheets, and reports as needed to support team decision-making.
Key Skills & Qualifications
- Experience: 1-3 years of experience in event coordination, project coordination, or administrative roles, with a focus on supporting teams.
- Organizational Skills: Exceptional attention to detail, with the ability to manage multiple tasks and projects simultaneously.
- Communication: Strong verbal and written communication skills to coordinate effectively with team leaders, speakers, vendors, and stakeholders.
- Time Management: Proven ability to prioritize tasks and meet deadlines in a fast-paced environment.
- Team Player: A collaborative mindset with a strong focus on supporting leaders and team objectives.
- Tech Savvy: Proficiency in tools such as Microsoft Office Suite, Google Workspace, and project management software (e.g., ClickUp, Asana).
- Adaptability: Ability to adjust to changing priorities and tasks based on team needs.
