Overview

As a Shipping & Receiving Specialist at Reata, you will play a crucial role in our supply chain, ensuring the smooth and efficient flow of our parts from production to our customers and from our suppliers to our production lines. You will be responsible for the accurate handling, documentation, and storage of incoming and outgoing shipments, maintaining the highest standards of organization and efficiency.

Essential Duties and Responsibilities

  • Receive Shipments: Carefully unload and check incoming shipments. Match shipping documents (e.g., packing lists, bills of lading) to purchase orders and supplier certifications, handle records, and report any discrepancies (e.g., (quantity, quality, price) or damages. Label deliveries and allocate them (physically and within ERP) to their correct location.
  • Prepare Shipments: Accurately pick, pack, and label parts for shipment, ensuring they meet the shipping requirements and are securely dispatched.
  • Inventory Management: Keep track of inventory levels, organize stocks and maintain a clean and safe working environment.
  • Documentation: Complete all necessary shipping and receiving documents with attention to detail and accuracy.
  • Coordination: Work closely with the production and sales teams to ensure timely delivery and receipt of materials and products.
  • Quality Assurance: Inspect goods for defects or damages, upholding Reata's quality standards (i.e., ISO 9001:2015, ISO 13485, and AS9100:2016).
  • Operational Support: Utilize material handling equipment (e.g., forklift, pallet jack, hand truck) and perform routine maintenance and cleaning of shipping area and equipment. Assist with assembly, masking and passivation as required.
  • Safety and Compliance: Follow strict safety protocols and contribute to maintaining a safe work environment, in compliance with ITAR registrations and aerospace and medical industry standards.
  • Transportation: Pick up and/or deliver parts and/or materials using our delivery truck.


Daily Tasks and Responsibilities

The day-to-day tasks and responsibilities of our Shipping & Receiving Specialists are critical in facilitating the seamless flow of materials and products necessary for the production of complex components across various industries, including medical, aerospace, defense, and semiconductor. Daily Opening Routine

  • Check the Daily Schedule: Review shipments due to arrive and depart. Prepare for the day’s activities by understanding priorities and deadlines.
  • Inspect the Work Area: Ensure the shipping and receiving area is clean, organized, and safe to operate in. Check for any issues that need immediate attention.


Receiving Shipments

  • Unload Deliveries: Safely unload parts using appropriate equipment. This could involve forklift operation for heavy items.
  • Verify Shipments: Check received goods against purchase orders and supplier certifications to ensure accuracy. Report any discrepancies or damages.
  • Log Information: Record details of received shipments in the inventory management system for tracking and accountability.
  • Stock and Store: Efficiently organize and store items in their designated locations. Use FIFO (First In, First Out) methods where applicable to manage inventory.


Processing & Shipping Parts

  • Pick and Pack: Retrieve parts from inventory and/or shop floor (i.e., machining cells, assembly, quality & inspection) based on outgoing orders. Pack goods securely, ensuring they’re protected during transit.
  • Label and Document: Accurately label shipments and prepare necessary shipping documents, including invoices and custom forms for international orders.
  • Arrange Transportation: Schedule pickups with carriers and ensure shipments are dispatched on time. Communicate any special shipping instructions. As needed, pick up or deliver parts/materials using the company-owned delivery truck.


Inventory Management

  • Conduct Inventory Checks: Regularly perform spot checks and full inventory counts as required to maintain inventory accuracy.
  • Update Records: Adjust inventory records to reflect received and shipped goods. Highlight any issues or discrepancies for resolution.


Safety and Compliance

  • Safety Protocols: Adhere to all workplace safety guidelines, including the use of personal protective equipment (PPE), maintaining clean and organized work areas, and following procedures for safe equipment operation.
  • Equipment Checks: Perform routine inspections and maintenance on material handling equipment to ensure operational safety and efficiency.
  • Clean-up: Keep the shipping and receiving area tidy. Remove debris and dispose of packaging materials properly to maintain a safe working environment.
  • Regulatory Compliance: Ensure all activities comply with relevant industry standards and certifications, such as ISO 9001:2015, ISO 13485, AS9100:2016, and ITAR regulations.


Communication and Collaboration

  • Team Collaboration: Work closely with procurement, sales, and production teams to align on inventory needs, order status, and delivery schedules.
  • Continuous Improvement: Participate in team meetings and training sessions, providing feedback on processes and suggesting improvements to enhance efficiency, quality, and safety.


Problem-Solving & Improvement

  • Address Issues: Proactively identify and solve problems related to shipments, inventory discrepancies, or process inefficiencies.
  • Suggest Improvements: Contribute ideas for process improvements, cost-saving measures, or safety enhancements in the shipping and receiving operations.


End-of-Day Routine

  • Review the Day’s Work: Ensure all shipments have been correctly processed and any receiving discrepancies addressed.
  • Prepare for the Next Day: Set up for the next day’s priorities based on shipment schedules and outstanding orders.
  • Secure the Area: Ensure the work area is secure, equipment is stored safely, and all systems are properly shut down.


Levels

Reata has established different levels for Shipping & Receiving Specialists, each representing an increased layer of skill, experience, and responsibility that contributes to the overall efficiency, quality, and innovation of the company's operations. Here is a general overview:


Level 1: Shipping & Receiving Specialist (Basic)

Pay Range: $18 - $20 per hour

  • Skills and Knowledge: Basic knowledge of warehouse operations and safety standards. Ability to follow instructions and perform simple tasks under supervision. Basic computer skills for data entry and documentation. Ability to physically handle, move, and pack goods, including lifting up to 50 pounds. Effective communication skills for interacting within the team.
  • Responsibilities: Duties typically include assisting in receiving shipments by unloading vehicles and checking items against packing lists. Help in packing, labeling, and preparing parts for shipping according to set procedures. Perform routine inventory counts and assist in maintaining inventory accuracy. Keep the shipping and receiving area clean and organized. Learn to use warehouse equipment under supervision, such as pallet jacks. Transport parts using company delivery truck.
  • Experience: Requires 1 to 2 years of experience.


Level 2: Shipping & Receiving Specialist (Intermediate)

Pay Range: $20 - $24 per hour

  • Skills and Knowledge: Proficient in warehouse management systems and database software. Good understanding of shipping policies, procedures, and regulations. Skilled in inventory management, including tracking and resolving discrepancies. Ability to operate material handling equipment (e.g., forklift) with certification. Strong organizational skills for efficient handling of shipping and receiving tasks.
  • Responsibilities: Independently receive and inspect shipments for accuracy and quality. Manage documentation for inbound and outbound shipments, ensuring accuracy and completeness. Coordinate with vendors and carriers to resolve any shipping or receiving issues. Conduct regular inventory audits and implement corrective actions to maintain inventory health. Train and mentor Level 1 specialists, imparting knowledge and operational skills.
  • Experience: Requires 3 to 5 years of experience or a combination of education and work experience. Having completed apprenticeships or certifications is a plus.


Level 3: Shipping & Receiving Lead (Advanced)

Pay Range: $25 - $28 per hour

  • Skills and Knowledge: Advanced understanding of supply chain logistics, including international shipping regulations. Expertise in using and troubleshooting warehouse management systems. Leadership and team management skills. Strong problem-solving skills and the ability to implement process improvements. Excellent negotiation and communication skills for coordinating with suppliers, carriers, and internal teams.
  • Responsibilities: Oversee and manage all shipping and receiving operations, ensuring efficiency and accuracy. Develop and implement SOPs for shipping and receiving to improve workflow and reduce costs. Lead, supervise, and evaluate the performance of junior specialists, providing guidance and feedback. Liaise with management, production teams, and external partners to ensure alignment of shipping and receiving activities with business objectives. Analyze operational data to forecast inventory needs and manage space allocation within the warehouse.
  • Experience: Requires at least 5 years of experience and a deep expertise in logistics. Possession of advanced certifications or completed specialized training programs a plus.


Required Skills and Qualifications

  • High school diploma or equivalent.
  • Proven experience as a Shipping & Receiving Specialist or similar role.
  • Proficiency in inventory software, databases, and systems.
  • Experience with freight carriers and freight forwarders.
  • Familiarity with modern warehousing practices and methods. 
  • Good organizational and time management skills.
  • Ability to lift heavy objects and stand for extended periods.
  • Excellent communication skills and the ability to work as part of a team.
  • Valid Colorado driver's license in good standing (i.e., clean driving record).


Preferred Skills and Qualifications

  • Vocational training or certifications in inventory management, shipping & receiving, warehousing, and/or forklift operations.
  • Experience in a high-tech manufacturing environment, particularly in medical, aerospace, defense, or semiconductor industries.
  • Familiarity with UPS and FedEx logistics software.
  • Forklift certification.


Physical Requirements

  • Capable of standing for extended periods and managing tasks that require attention to detail.
  • Ability to lift materials up to 50 pounds and adapt to a dynamic manufacturing floor.
