What are the responsibilities and job description for the Operations Assistant position at Rebecca Atwood Designs?
Reports to:
Operations Manager
VP Finance
Position Purpose:
- Execute daily order and swatch fulfillment operations.
- Provide daily operational support to the sales team.
- Support Operations Manager with managing inventory, production, order fulfillment systems, studio organization, and special projects.
KEY RESPONSIBILITIES & ACCOUNTABILITIES:
Order Fulfillment:
- Ensure all orders are accurately entered, submitted to the appropriate vendor, and tracked until all items are received by the customer.
- Create purchase orders for all products, as needed, and submit to the appropriate vendor.
- Ensure shipment details such as addresses, requested shipping speeds, sidemarks, and any other important details are accurate.
- Coordinate custom orders with vendors.
- Fulfill orders from the studio for items such as swatches, books, and press gifts.
- Support Operations Manager with inventory management as needed.
- Coordinate with production vendors and monitor open purchase orders for delays or other updates.
- Maintain and update company records for the fabric, wallpaper, and pillow lines (e.g., color names, SKU number, etc.).
- Liaise with our warehouse coordinator(s) and vendors to ensure accurate and efficient order fulfillment and maintain strong relationships.
Sales Team and Showroom Support:
- Communicate order fulfillment details, production lead time updates, and other information the sales team may need to relay to customers.
- Keep track of all orders not immediately fulfilled and keep relevant parties up to date on any production and/or shipping delays.
- Troubleshoot customer service issues when they arise and provide solutions for the sales team and customers.
- Coordinate with Sales Managers to ensure that travel sales assets are up to date.
General Operational Support:
- Respond to general email inquiries and forward emails to appropriate departments and answer the phone when onsite.
- Support the Operations Manager with office maintenance and organization.
- Keep files organized and up to date that relate to operations, inventory, and production.
- Ensure that the studio is kept organized and clean.
- Assist Operations Manager with special projects as needed.
QUALIFICATIONS:
- Bachelor’s Degree.
- Strong attention to detail and organizational skills.
- Empathy and an ability to understand the needs of customers, vendors, and team members.
- Data entry experience.
- Customer service experience – preferred.
- Familiarity with Unleashed, ShipStation, Shopify, or monday.com – preferred.
