Job Description - Recruitment Coordinator
The nonprofit Rebuilding Exchange invests in our communities by reusing building materials, reducing construction waste, and training, supporting, and connecting people seeking careers in the building trades. We divert building materials from landfills through two reuse retail stores in Evanston and Chicago and offer deconstruction services to homeowners that want to save their building materials from landfills. We teach community members to repair and repurpose building materials through education workshop programs. Finally, we run a paid workforce training program to support individuals overcoming barriers to employment to access careers in the building trades. Our training programs are run simultaneously at our Evanston and Chicago locations.
We seek a Recruitment Coordinator to lead and execute the recruitment efforts for our workforce training programs. The Coordinator will be a strategic and organized professional, skilled in outreach, communication, and data management, and committed to building meaningful community partnerships. The Coordinator must be able to connect with a diverse pool of applicants, facilitate seamless enrollment, and support participants as they begin their journey in RX’s programs.
This is a full-time, exempt salaried position for 40 hours a week. Hours are flexible but generally completed Monday-Friday between 8:00am and 5:00pm. The Recruitment Coordinator reports to the Director of Programs (DOP).
Primary Responsibilities
Recruitment and Outreach
- Develop and execute recruitment plans for workforce training programs, including outreach to schools, community organizations, and local employers.
- Attend career fairs, community events, and resource fairs to promote Rebuilding Exchange programs and strengthen community engagement.
- Maintain and expand relationships with community partners to enhance participant referrals.
Candidate Screening and Selection
- Review and evaluate applications for program eligibility based on grant-specific requirements.
- Conduct initial screenings and schedule interviews, ensuring prompt follow-up with all applicants.
- Facilitate interviews and maintain organized applicant records in Airtable and other systems.
Program Enrollment and Onboarding
- Coordinate acceptance and enrollment processes, including communication of decisions and collection of required documentation.
- Facilitate program orientation, ensuring participants receive necessary materials and support.
- Order and distribute program-specific gear, maintaining inventory and grant-based budgeting compliance.
Marketing and Communication
- Create and approve recruitment marketing materials in collaboration with the marketing team.
- Schedule and manage social media posts to promote programs, respond to inquiries, and engage with target communities.
- Send regular updates and announcements to community partners and potential applicants.
Data and Reporting
- Track recruitment metrics and provide quarterly reports to the Workforce Training team.
- Maintain audit-ready records of recruitment activities and participant enrollment data.
- Collaborate with the Data Coordinator and Director of Programs to ensure accurate data collection and reporting.
Other Responsibilities
- Attend program-related conferences and share insights with the team.
- Actively contribute to program improvement efforts, including developing waitlist strategies and strengthening referral partner communications.
- Assist in inventory tracking and procurement of program supplies.
Job Skills and Qualifications
- 2 years of experience in recruitment, community outreach, or workforce development.
- Strong interpersonal and organizational skills, with attention to detail and follow-through.
- Proficiency in Google Suite, database management systems, and social media platforms.
- Commitment to RX’s mission of environmental sustainability and workforce empowerment.
- Ability to travel locally for outreach activities and events.
Salary Benefits: Salary is $42,000–$46,000. Benefits include paid time off, health insurance (including vision and dental), holiday pay, and employee store discount.
