This position’s primary function is the procurement of all materials, equipment and services required for the efficient operation of all facilities and to perform a variety of clerical accounting duties.
ESSENTIAL DUTIES AND RESPONSIBILITIES

• Enter purchase orders and vendor invoices into the financial accounting system, ensuring each entry is compliant with financial policies and budgets. Research, resolve and correct specific purchase order issues and make changes, as necessary.
• Assist operational managers with research and review to expedite purchases at the lowest overall cost and to ensure consistent quality, quantity, and delivery requirements necessary for the efficient operation of all facilities.
• Place orders with established vendors and periodically solicit, analyze, and review potential new vendors to evaluate their products and capabilities as suppliers.
• Pick up supplies as needed from local vendors.
• Perform routine office practices such as scanning documents, filing, typing, answering telephones, problem solving and vendor interfacing. Maintain an extensive record of all transactions to ensure an efficient audit trail.
• Coordinates annual document retention. Keep storage areas organized. Coordinate shredding of obsolete documents.
• Disburse payments from and keep accurate records for petty cash fund. Pick up change from bank for petty cash checks.
• Correspond with vendors and recreation employees to solve receiving and invoicing issues.
• Impeccable customer service and social perceptiveness to evaluate internal and external customer satisfaction and responsiveness and, to include the ability to pivot service as needed.
• Demonstrates a commitment to innovation on both efficiency and services, and fiscally responsible activity.
• Completes and files Fuel Rebates forms 8849 and ADOT Fuel Refund Applications.
• Responsible for vehicle asset tracking including, Inventory tracking spreadsheet, vehicle titles, vehicle licensing and insurance renewals.
• Performs other duties as assigned to include providing back-up support to accounting staff as needed.
• Assist with annual audit by providing information and documentation as requested.
• Maintains consistent record of onsite acceptable attendance and punctuality according to policy guidelines.
• Reviews current processes and identifies opportunities for change helping to develop novel and creative approaches and solutions for department efficiencies and services.
SUPERVISORY RESPONSIBILITIES
This position has no supervisory responsibilities. Receives direction from accounting management and is expected to work independently in the absence of supervision.
Qualifications

EDUCATION and/or EXPERIENCE: Sufficient Training and education to demonstrate possession of required knowledge, skills and qualifications are required.
- Associate degree (A. A.) or equivalent from two-year College or technical school
- Two years’ experience and/or training in purchasing inventory or purchasing area
- An equivalent combination of education and experience may be substituted for educational requirement.
- Knowledge of purchasing, inventory, and requisition procedures
- Must have advanced knowledge of Microsoft Office Suite with an emphasis on Excel, PowerPoint, Outlook, and Word as well as systems experience with accounting software. Experience with Great Plains and Microsoft Dynamics is highly preferred
CERTIFICATES, LICENSES, REGISTRATIONS
Valid Arizona driver's license and good driving record for insurance purposes.
PHYSICAL DEMANDS
Work is conducted in a dynamic, fast-paced office setting with moderate level noise. The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.
