Position Overview:
The Medical Records Clerk / Intake Specialist will be responsible for managing medical records and case intake processes. This role is crucial in ensuring that all medical documents are properly ordered, labeled, and stored within our case management system. Additionally, the specialist will conduct case intake calls with potential clients, gathering relevant information and documenting a narrative for review by our legal team.
Key Responsibilities:
Medical Records Management:
- Order medical records from various providers and facilities as requested by legal teams.
- Label and organize medical records in the case management system to ensure accurate and efficient retrieval.
- Ensure that medical records are accurately indexed and stored in the correct case files.
- Maintain confidentiality and security of all medical information in compliance with HIPAA regulations.
- Monitor and track the status of outstanding medical record requests and follow up as necessary.
Client Intake & Case Evaluation:
- Perform intake calls with potential clients to gather detailed information about their cases.
- Document a narrative of the client’s story, injuries, and relevant case facts.
- Identify key medical and legal issues for review by the legal team to determine case viability.
- Communicate clearly and professionally with clients, ensuring they understand the intake process.
- Provide clients with necessary instructions and documentation as part of the intake process.
Qualifications:
- Previous experience in a law firm, healthcare setting, or medical records management preferred.
- Familiarity with case management systems.
- Excellent communication skills, both verbal and written.
- Strong attention to detail and organizational skills.
- Ability to manage multiple tasks and prioritize effectively.
- Ability to maintain confidentiality and handle sensitive information with discretion.
Additional Skills & Attributes:
- Experience in customer service or client-facing roles is beneficial.
- Ability to work independently and as part of a team.
- Comfortable working in a fast-paced environment with deadlines.
Salary is commensurate with experience, and there are opportunities for advancement within the firm. This is not a remote position. Working hours are weekdays from 9:00a-6:00p.
