Key Responsibilities
Administrative Oversight
- Manage day-to-day office operations to ensure efficiency and productivity.
- Maintain office supplies and oversee the functionality of office equipment.
- Organize and manage physical and electronic filing systems, ensuring compliance with document retention policies.
- Handle incoming and outgoing mail, correspondence, and legal document distribution.
- Coordinate attorneys’ calendars, schedule client meetings, and coordinate annual holiday cards and referral partner acknowledgment.
Financial Management
- Oversee client billing processes.
- Monitor office expenses.
- Coordinate with bookkeeping or accounting services.
Human Resources
- Supervise support staff, including paralegals and administrative assistants.
- Facilitate onboarding and training of new employees.
- Enforce office policies, track employee timekeeping, and assist with payroll coordination.
Technology Management
- Ensure the functionality of the office phone and computer systems and legal practice management software and troubleshoot as needed.
- Schedule and set up remote conferences via platforms such as Zoom.
- Coordinate with IT support as needed.
- Maintain strict confidentiality protocols.
Client and Legal Support
- Act as the primary point of contact for client inquiries, providing a professional and welcoming experience.
- Support attorneys with document preparation as needed.
- Coordinate with third parties such as title companies and real estate brokers.
Qualifications
- Prior experience as an office manager, preferably in a law firm or professional services environment.
- Proficiency with office management tools, legal practice management software, and Microsoft Office Suite.
- Strong organizational skills and attention to detail.
- Excellent communication and interpersonal skills.
- Ability to multitask and prioritize in a fast-paced environment.
- Familiarity with bookkeeping or financial processes is a plus.
- A proactive, problem-solving mindset with a strong commitment to client service.
